Pittsburg State University invites applications for the position of Administrative Specialist Senior in the H. W. Smith Student Success Center. The primary purpose of the Administrative Specialist Senior is to provide administrative support and assistance to the Student Success Center, including the follow departments; Academic Advising, Career Development, First year Program and Student Disabilities Services. This position plays a crucial role in supporting day-to-day functions. Overall duties include Career Development operational budget, providing high-level customer service to constituents, managing and supervising student employees, assisting with career fair/event registration and logistical assistance. Duties and Responsibilities

45% Administrative Support

Provide administrative support for activities across Career Development, First Year Programs, Student Disability Services, and the Academic Advising units within the Student Success Center. Monitor daily office operations and ensure proper procedures. Collect, organize, and compose correspondence. Answer phones, respond to email, forward messages, and schedule and confirm appointments. Supervise, recruit and train student employees, including establishing work schedules, administer work assignments, and review completed work. Attend trainings and meetings regarding campus changes or regulations regarding business practices and stay abreast of all institutional changes. Use independent judgement to support Student Success Center by answering inquiries, taking action, and delegating tasks when appropriate. 25% Office Management & Events

Provide general support for Career Development, Academic Advising, First Year Programs, and Student Disability Services. Provide support to office staff on various projects and events, including managing registrations for career events and assisting with event setup and logistics on the day of. Manage the front-end operations of the Student Success Center. Order supplies for events, including branded items for distribution to student and family participants and uniforms for staff following PSU brand guidelines. 25% Financial Transactions and Budgets

Organize and prepare data and coordinate the day-to-day operational support for Career Development. Process invoices, deposits, and reconcile monthly procurement card transactions. Track and report on fiscal year expenditures and budget projections using spreadsheets and budget software. Collaborate with the director to manage accounts and maintain accurate budget balances. Ensure expenses are charged correctly and manage facility work orders. Monitor cost center balances regularly using GUS Cloud to assure department expenses are within budget. 5%

Perform other duties as assigned by the AVP of Student Success Center. Education and Experience

Required Education and Experience - Time of Hire

High school diploma or equivalent Preferred Education and Experience -

Bachelor's degree in business or related field Three years in a customer service-related industry Three years of relevant work experience in an office or administrative setting Three years of student supervision experience Experience in using general office software and processes, specifically the Microsoft Office suite, Oracle, and Outlook Screening Services (Background Checks):

Work Schedule:

Full Time, Monday - Friday, occasional evenings and weekends.
