Assistant Office Services Manager
IST Management is seeking an Assistant Office Services Manager to join the Denver team! The Office Services Assistant manager will be responsible for executing and overseeing on-site services provided in a professional legal environment. Ideal candidates will possess prior relevant office experience, possess excellent customer service skills, are self-motivated, and are ready to take the next step in their management and office services career! IST Management is a business process outsourcing company. We have over 1,800 employees, in business 26 years with operations in over 38 cities across the U.S. We developed our own, web-based, proprietary software to run our FM accounts involving on-site mail, copy, records, and other administrative services. We also provide litigation and corporate office support services including e-Discovery processing, hosting, court reporting, collections/forensics, managed review, and managed services. Job Requirements: Maintain effective written and oral communications with clients; Prioritize work and deploy staff as required to ensure customer needs are met in regards to on-time delivery of services and quality of work; Ensure all work standards are met on a consistent basis Mailroom services- oversee and assist as necessary with services provided
Scan, sort, delivery of mail and packages throughout firm; vendor relations with major carriers on incoming/outgoing shipments (ie Fedex, UPS, USPS, etc.); creating labels, ordering supplies
Records Management- assist with and oversee scanning services provided
Utilization of various scanners, scan client records according to SOP, manage proper quality control measures, file management- high attention to detail and sensitivity to confidentiality
Hospitality services- oversee and assist as necessary with services provided
Conference room management
Conference room scheduling; set-ups and break downs for meetings (ie arrange beverage stations, prepare coffee, drinks and food- coordinate catering upon request, arrange tables, cleanup, order supplies)
Ensure site common areas and kitchen are maintained- (ie light cleaning of surfaces and area, order supplies for kitchen and office, inventory)
Insures maximization of productivity through efficient use of standard operating procedures; Develops new procedures to improve the operation of the sites and to lower operating costs Qualifications
Qualifications: High school diploma or equivalent (GED) Knowledge of Microsoft Office (Word & Excel) and familiarity with computer basics is preferred. Must have attention to detail and critically think through and resolve problems; Must have customer service skills and be able to maintain a consistent, high level of service Must have the ability to multi-task, manage multiple accounts and establish priorities A valid driver's license and/or reliable transportation to and from work Lifting up to 55 pounds; Standing for long periods of time Willingness to cross-train for other job functions IST Management provides reasonable accommodations to individuals with a disability in accordance with applicable law in both the application and employment stages.
