FERMT is looking for a sharp, resourceful, and highly organized Executive Assistant & Office Manager to support our two co-founders, and ensure our San Francisco office operates smoothly. This is a high-trust role ideal for someone who thrives in a fast-paced, high-ownership environment, enjoys managing complex schedules and logistics, and takes pride in making people's lives easier and more efficient. This role is primarily focused on executive support, with a secondary focus on office management and workplace experience. You'll be the air traffic controller behind the sceneskeeping calendars aligned, communication flowing, and our office running like a well-oiled machine. Responsibilities:

Calendar Management: Own the day-to-day scheduling for both co-founders, ensuring meetings are prioritized effectively, with a clear understanding of what to move and why.

Communication Management: Monitor and respond to emails and Slack messages on behalf of the co-founders, maintaining clear and timely communication across stakeholders.

Travel & Event Coordination: Plan travel logistics and internal/external events, such as candidate visits, leadership offsites, and investor meetings.

Administrative Execution: Support with document organization, scheduling workflows, and ad hoc requests with speed and precision.

Stakeholder Experience: Serve as a trusted extension of the co-founders, ensuring key meetings, communications, and interactions are thoughtfully managed.

Workplace Operations: Maintain an organized and functional office environmentmanaging supplies, AV needs, and day-to-day operations.

Visitor & Event Hosting: Ensure an exceptional experience for guestscandidates, investors, execswhen visiting the office.

Trip & Event Logistics: Support leadership team trips to SF (every 36 months), including meeting planning, travel, and event setup.

Culture & Community: Assist in the planning of team gatherings, off-sites, and internal celebrations that foster connection and collaboration.

Requirements:

1+ years of experience in an Executive Assistant, Chief of Staff, or high-level administrative role

Strong organizational skills with the ability to manage multiple priorities and maintain structure in a fast-moving environment

Comfort with direct feedback and a communication style that's clear, candid, and fast-paced

Tech-savvy and detail-oriented, with working knowledge of tools like Google Calendar, Gmail, Slack, and Notion (or quick to learn)

Reliable and proactive

Flexible and on-site

based in San Francisco with regular in-office presence and occasional flexibility for personal needs
