Matter Management & Maintenance Analyst

Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking a Matter Management & Maintenance Analyst to join its Charlotte, NC office. This role is responsible for the setup, maintenance, and integrity of legal matter records across the firm's financial and legal systems. This role plays a critical part in ensuring accurate matter creation, compliance with client billing guidelines, and consistency across platforms such as timekeeping, billing, document management, and CRM. Essential Duties & Responsibilities: Matter Setup & Lifecycle Administration Review and process requests to create, modify, and close client and matter records in accordance with firm and client requirements. Ensure accurate matter setup, including assignment of responsible attorneys, fee arrangements, billing rates, client codes, and practice groups. Coordinate with attorneys, secretaries, billing staff, and intake teams to validate and complete matter data. Data Quality & System Integrity Maintain the firm's matter management systems (e.g., Intapp Open, Aderant, Legal Tracker, iManage), ensuring data accuracy and consistency across integrated platforms. Perform regular audits and clean-up of client and matter data to uphold data governance standards. Assist with data correction, normalization, and deduplication tasks to support accurate reporting and billing. Compliance & Client Guidelines Review and apply Outside Counsel Guidelines during matter setup to ensure compliance with client-specific billing and reporting rules. Support conflict clearance and ethical wall processes as part of the new matter intake workflow. Track and implement updates related to client billing policies, alternate fee arrangements, and internal protocols. Reporting & Documentation Generate reports and dashboards related to matter status, billing structure, compliance, and operational trends. Respond to internal requests for matter data, metadata corrections, or reporting support. Document standard operating procedures, workflows, and process updates to support consistency and training. Process Improvement & Systems Support Identify inefficiencies or inconsistencies in matter workflows and propose enhancements to increase efficiency and data quality. Collaborate with IT and legal operations teams on system upgrades, testing, and feature rollouts. Participate in initiatives related to legal operations, process automation, and data integrity. Training & End-User Support Provide guidance and support to attorneys and staff on matter-related questions and data entry standards. Assist with onboarding and training for systems and procedures related to matter management. Qualifications & Experience: Bachelor's degree in Legal Studies, Business Administration, Information Systems, or a related field. 24 years of experience in a law firm or corporate legal department, preferably in matter management, intake, billing, or legal operations reconciling and law firm matters with vendor matters required; Understanding of legal billing structures, timekeeping processes, and alternate fee arrangements preferred. Framework applications including Entity Manager, including Matters, Clients, and Guidelines. Physical Requirements: The work is primarily sedentary. It requires the ability to communicate effectively using speech, vision, and hearing. The work requires the use of hands for simple grasping and fine manipulations. The work at times requires bending, squatting, and reaching, with the ability to lift, carry, push, or pull light weights.
