As we grow to expand our impact to protect 500 million people from violence, we are seeking a Senior Coordinator, Experience. The Senior Experience Coordinator position is responsible for championing the culture at IJM by giving leadership and support to the Arlington Office and Experience Team. This includes space management and related communications, project coordinator for employee experience initiatives, procurement and supply sourcing and vendor management, internal event support for in-person and remote employees, onboarding and training new staff, and budget support. This position interfaces frequently with internal and external stakeholders. This position is based in the Washington, DC area and is available to be hybrid (onsite Tuesdays & Thursdays with flexibility to be onsite beyond these required days). It reports to Sr Global Director, Employee Experience and is only available for candidates with the right to work in the US. Responsibilities: Project Coordinator for Employee Experience Initiatives: Collaborate with the Experience Director to drive projects forward to encourage collaboration and engagement for IJM staff. Work with the Experience Director to implement the staff and guest experience. Build out the systems and structure in SharePoint to ensure that the plans are replicable. Serve as Coordinator for office related needs and updates. Work to establish relationships with local businesses and amenities resulting in discounts for staff or opportunities to partner. Collaborate on diversity and inclusion initiatives and spiritual formation activities. Arlington Office Space Management: Work with the Experience Director to create a welcoming, professional, and world-class office space. Interface with Global People Support and Global Technology Solutions, as well as hiring managers, to plan for desk space and technology for incoming staff and interns. Maintain accurate records of floor plans, furniture inventory, and space allocation. Assist in researching and understanding office management and real estate best practices. Assess storage needs and capacity (onsite and offsite). Audit, update and manage access controls (Kastle and hard key) and stay up to date on software. Offer support to the Office Receptionist as needed. Arlington Office Event System Management: Provide access to office related resources as requested; evaluate the need to increase/replace resources as necessary. Coordinate in-person office events for IJM staff that encourage engagement and drives culture. Set best practices and guidelines for in-office events and provide limited logistical support, including receiving catering, assisting in setup/teardown. Advise on vendors for various needs. Office Procurement and Vendor Management: Maintain inventory of supplies, equipment, and materials, procuring and reordering as necessary while optimizing inventory. Maintain current vendor relationships; research and develop new relationships as the need arises. Schedule and ensure completion of all routine office maintenance projects. Interface with property management for building and storage as needed. Spiritual Formation: Assist with ongoing Spiritual Formation programming such as corporate prayer, small group coordination, and coordination for Fuller gatherings. New Staff Onboarding: Provide office tours to all new Arlington staff, interns, and fellows. Train administrative staff and interns to provide backup reception services. Support all new staff, interns, and fellows with administration related to working in the Arlington Office including preparing desk and nameplates, security card access, training and support related to shipping, office procedures, safety protocols and the overall mechanics of coming into the office. Experience Team Event Support: Provide planning and event preparation support for Experience Team events as needed. Provide execution support for Experience Team events such as Quarterly Prayer Retreats, Global Mission Week, and others as needed. Leadership Responsibilities: Conduct regular 1:1 meetings with the Arlington Office Receptionist to provide guidance and feedback. Manage tasks and performance of Arlington Office Receptionist to ensure effective execution of responsibilities. Establish clear systems and processes to assist the Arlington Office Receptionist in their role. Offer leadership and support to interns or fellows on the Experience Team through regular 1:1s. Develop project plan to guide Experience Team interns and fellows work and provide additional resources to help them succeed. Finances: Complete all administrative Workday documentation, including credit card reports and expense reports. Ensure the timely receipt and processing of vendor invoices; review all invoices for accuracy. Monitor actual expenditures within budget. Supervisory: This position reports to the Experience Director and will have one direct report. Qualifications: Education & Experience: At least 2 years of experience in providing top-level customer service in a fast-paced, professional environment. Bachelors degree. Experience handling multiple projects and competing priorities. Technical Competencies: Excellent written and oral communication skills. Exemplary time management skills. Highly organized. Demonstrated experience in building and improving systems. Non-Technical Competencies: Ability to effectively communicate and collaborate cross-divisionally with leaders from various cultures and disciplines. Ability to find simple, elegant, cost-effective, and proactive solutions to seemingly intractable complex problems. Ability to remain winsome, professional, loving and engaged in professional disagreement or conflict. Ability to maintain the posture of a servant, ensuring that our customers succeed.
