The Jim Ellis Automotive Advertising Agency is currently seeking a proactive Marketing Coordinator to support group-wide marketing and advertising objectives. Position reports to the Director of Marketing. Main areas of support include coordinating marketing project schedules and deadlines; tracking advertisement schedules, deliverables and deadlines; scheduling meetings; special events planning and execution assistance; PR writing and proofing; newsletter writing and proofing assistance; marketing research; reporting assistance; document gathering/filing; co-op support; ordering of promotional items; and management of print advertisement vendors. Position requires some work afterhours for special events. Interested candidates must be extremely organized, thrive in a fast-paced work environment and be able to successfully manage shifting priorities.
Responsibilities
Assist positions on the marketing team with writing, proofreading, reporting, organization, scheduling, planning, etc.
Track advertising schedules, deliverable completion and deadlines. Communicating with vendors and staff to ensure all items are following intended timelines and schedules.
Support a variety of special events in the areas of planning and execution. Position will help seek and organize details related to venue, guest lists/RSVPs, catering, billing, vehicle displays, event setup/breakdown, etc. Specific tasks and level of involvement may vary from event to event.
Order and maintain supply of various promotional items, apparel items, name badges, business cards, etc. Alsoto include organization of marketing supply storage area, keeping up with inventory and alerting when items need to be purchased/ordered.
Develop marketing correspondence and scheduling related to events, meetings, campaigns, organization, planning, reminder, etc.
Assist with the invoice process each month through requesting, reviewing, filing and submitting invoices for payment for marketing and advertising expenditures. This task may be shared with the Marketing Assistant position.
Assist in gathering co-op documents from third-party vendors, internally filing/organizing co-op documents, updating internal trackers with claim information, checking claims processes in online portals, etc. Specific tasks and level of involvement may vary between dealerships, vendors and brands.
Responsible for marketing meeting setup and notetaking; recording accurate notes and providing summary documentation for all applicable marketing meetings.
Assist with sales e-blasts process with third-party vendors for dealerships.
Conducting audits on dealership websites, contact information, social media outlets, review sites, etc.
Print advertising coordination: vendor communication, advertising schedules, reminders, contracts, payments, co-op, etc.
Assist with pulling and organizing data used to provide reporting on various marketing campaigns, events, etc.
Assist CRM role with database management, onsite training, reporting, special projects, etc.
Develop, proof and disseminate marketing content for dealership websites, newsletters, press releases, blogs, social media, traditional media, Google My Business, etc. Maintain an internal process for managing these items.
Assist in making updates to corporate and dealership websites and blogs as needed.
Audit website, social media channels, etc. as needed to help ensure brand and company guidelines are being followed.
Assist with writing and distributing press releases and various media items, maintaining internal processes and lists related to media distribution.
Manage several data documents and spreadsheets, including newsletter subscribers, e-mail subscribers, automotive customers, media contacts, marketing calendars, event spreadsheet, sponsorship lists, award information, etc.
Provide various levels of assistance on marketing campaigns/projects as needed/assigned.
Assist in keeping accurate records/information for the department related to company hierarchy, dealership contacts, department contacts, relevant vendors, etc.
Provide reporting and research as needed on marketing campaigns, events, website analytics, promotional items, etc.

Education and/or Experience
Related college degree or equivalent work experience (experience in the automotive industry a plus)
2+ years of experience in a marketing/administrative role
Computer Requirements
Proficient in MS Word and MS Excel
Working knowledge of MS PowerPoint
Experience with Photoshop (or similar application) preferred
Experience with Google Drive and One Drive preferred
Ability to learn and navigate various third-party portals
