Empower Rental Group is hiring an Operations Coordinator!
The Operations Coordinator performs the day-to-day tasks required to facilitate renting equipment from vendors to be re-rented to our customers, as well as providing broker services for any other rental needs a customer may have, by way of being a one-stop shop for our customers. The Operations Coordinator works hand-in-hand with our internal branches to meet customers' needs related to the re-rental of equipment and brokerage services. The Operations Coordinator will juggle many different hats at the same time in order to ensure a smooth experience for our customers, vendors, and branches, ensuring orders are placed accurately and in a timely manner.
Responsibilities include, but are not limited to: Manage the ReRents@RentERG.com inbox Manage department workbench/trackers in Google Sheets Work with vendors to source/price equipment for customers, based on leads provided by branches. Work with branches to present equipmentand service options to customers/close deals. Review/document new re-rent orders submitted by branch employees. Create purchase orders for equipment being re-rented, verifying margins are in line with company standards. Create/Send notice to vendors, providing them with the purchase order details for new/pending orders. Verify successful delivery of equipment to customer job sites before converting reservations to rental contracts. Coordinate with the branch and vendor for the successful pickup/return of equipment that has been called off rent. Collect final invoicing from vendors in a timely manner, after verifying the return of equipment. Process final billing to customers, making sure to pass all appropriate vendor charges at the proper margin. Document all re-rent vendor invoices in an internal ticketing system. Review vendor invoicing for accuracy and dispute any discrepancies. Match vendor charges to customer billing report, verifying all charges are accounted for. Create additional billings to customers based on additional services requested from customers/invoiced by vendors. Create new contracts for units added to the site after the initial order. Send vendor invoices to Accounts Payable, with specific details for posting to correct purchase orders/accounts. Answer calls and emails concerning all aspects of re-rent orders. Prioritize and resolve escalated partner/payment issues with urgency. Review vendor aging reports/statements monthly, research/address issues, request missing invoices, etc. Audit/verify items on rent monthly. Look for opportunities to swap re-rented equipment for owned assets to lower costs/overhead. Job Requirements
Highly motivated operational professional who can operate within the guidelines assigned. Proficient level of computer skills; including Microsoft Office (emphasis Excel, Outlook, Teams) and G Suite (emphasis Sheets) Communicate clearly, both verbal and written with a professional demeanor Excellent customer service and follow-up skills with customers, vendors, and fellow employees Possess decision-making, problem-resolution, and creative thinking skills. Strong organizational and prioritization skills Strong attention to detail and accuracy Able to multitask activities with shifting priorities Able to work in a fast-paced, entrepreneurial environment. Excellent time management skills Education and Experience High School Diploma or GED required. Data/Order entry experience preferred. Broker/Re-Rent experience preferred. RentalMan experience is a plus.
