General Overview:

The Family Services Professional will provide administrative support to the Family Advisors. Additionally, from time to time there will be direct communication with clients assisting with day-to-day calls, transactions, problem resolution and escalating items when appropriate. This position requires an individual with strong multi-tasking skills, the ability to work with time and content sensitive information and always operate with a high level of professionalism and confidentiality.

Key Areas of Responsibility: Assist with scheduling and clerical items for Family (client) advisors which includes scheduling meetings, advisor travel and items ancillary to meetings. General correspondence (written and verbal) with family clients, trustees and internal staff. Handling incoming mail, tracking expenses, expense report submission, and maintaining key documents. Responsible for client bill pay to include coding, wire transfers and general processing of client expenses. Coordinate internal team meetings by managing calendars, communicating with internal and cross-functional teams, taking detailed meeting notes, and tracking follow-up action items to ensure timely completion in line with internal and external deadlines. Maintain organized task and deadline tracking systems and provide regular status updates to advisors. Assist with preparation and coordination of external meetings, printing and distribution of materials, calendar management, working with external vendors on all meeting arrangements, and coordinating of presenters. Scanning documents and ensuring documents are uploaded to the file system. Maintaining data in our CRM software. Provide backup receptionist support when needed. Willingness to assist with all other projects assigned.

Professional Qualifications: Bachelors degree preferred, but not required. 5- 7 years administrative support experience, including at least 2 years in the financial services industry, Experience with CRM software preferred Expert proficiency using Microsoft Office products with knowledge on using Outlook, PowerPoint, Excel, Word, OneNote, Teams and Zoom. Must be self-motivated and willing to help others as requested. Positive attitude in managing interactions with others inside and outside the company. Customer service mindset with strong organization skills and attention to detail. Willingness to take ownership of assigned tasks from start to finish and demonstrating a proactive approach to problem solving. Must possess solid verbal and written communication skills. Ability to maintain a high level of integrity and discretion in handling confidential information. Ability to multitask and prioritize to manage multiple items for different managers at any given time. Ability to proactively identify, suggest, and implements ways to improve work. Ability to complete a high volume of tasks and projects with little or no guidance. Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround

Working Conditions: The physical working conditions of this position include an office environment where sitting and working on a computer for extended periods of time are common

Hybrid Work Environment: We currently operate in a hybrid work environment, requiring employees to be in the office at least three days per week. Mandatory in-office days are Tuesday, Wednesday, and one additional rotating day. This arrangement is subject to change at the discretion of Waycrosse.
