Helix Community Schools is looking for a highly qualified Administrative Assistant that provides high-level administrative support to executives, helping them manage their schedules, communications, and day-to-day operations. The role requires strong organizational, communication, and problem-solving skills, along with discretion and professionalism. Key Responsibilities : Calendar & Scheduling : Manage executive calendars, schedule meetings, and coordinate travel arrangements. Communication Management : Handle emails, phone calls, and other correspondence on behalf of the executive. Meeting Coordination : Organize meetings, prepare agendas, take minutes, and follow up on action items. Document Preparation : Draft reports, presentations, and other business documents. Office & Project Management : Oversee office operations and assist in managing business projects. Confidentiality & Discretion : Handle sensitive company and executive information with confidentiality. Stakeholder Liaison : Act as a bridge between the executive and internal/external stakeholders. Event Planning : Organize company events, conferences, or client engagements. Problem-Solving & Decision Support : Assist in decision-making by providing relevant research and insights. Skills & Qualifications : Strong organizational and time-management skills Excellent written and verbal communication Proficiency in office software (Microsoft Office, Google Suite, etc.) Ability to multitask and prioritize tasks effectively High level of professionalism and discretion Experience with travel coordination and event planning Strong interpersonal skills for liaising with executives, clients, and teams
