The Brokerage Administrator supports the daily operations of the brokerage division by managing administrative tasks, maintaining accurate documentation, and ensuring timely communication between brokers, clients, and internal departments. This role is essential to supporting the productivity and efficiency of the brokerage team and plays a key role in maintaining professional standards and service excellence.
Roles and Responsibilities: Administrative Support Across Key Business Functions Provide comprehensive administrative support to the brokerage team, including coordination with the marketing, accounting, and compliance departments. Ensure all internal processes run smoothly to support active sales and lease transactions. Maintain well-organized client and deal files (digital and physical), and ensure that all required documentation meets internal and legal compliance standards throughout the transaction lifecycle. Listing Management & Lifecycle Oversight Manage the full lifecycle of property listings by creating and updating listing records in internal systems and third-party platforms. Maintain a current Listing Ledger and proactively monitor timelines, marketing activity, and deliverables to support property exposure and broker accountability. Marketing Content Development & Execution Oversee the creation, editing, and quality control of all brokerage marketing materials. Ensure all materials are proofed for accuracy, visual appeal, and brand consistency before production. Technology & Platform Proficiency Develop strong working knowledge and creative fluency with a range of brokerage technology platforms, including but not limited to CoStar, LoopNet, HubSpot, CREXI, Constant Contact, and ZoomInfo. Use these tools to support marketing campaigns, property research, lead generation, email outreach, and reporting. Maintain up-to-date data and actively look for ways to increase efficiency and exposure through platform features. Accounting Coordination & Voucher Management Assist brokers in completing and submitting deal vouchers, commission forms, and other financial documents accurately and on time. Manage the invoice tracking and approval process through CommercialEdge, ensuring all related brokerage expenses (e.g., marketing, signage, subscriptions) are correctly allocated and processed. Maintain records of paid and outstanding invoices and coordinate with the accounting team as needed.
Education & Certifications Bachelor’s Degree preferred 2–3 years of experience in commercial real estate or administrative roles preferred Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) required
Competencies Detail-oriented with strong organizational and time management skills Ability to multitask and manage shifting priorities in a deadline-driven environment • Understanding of the commercial real estate industry and terminology Comfortable speaking and presenting research or reports in front of others Proactive problem-solver with a collaborative and adaptable mindset
