The Office Assistant is the initial contact for visitors and callers and provides the first impression of NCCN. The Office Assistant is responsible for creating a welcoming environment for all NCCN employees, guests and callers by effectively managing front office responsibilities, overseeing office supply and kitchen inventories, restocking supplies throughout the day, and providing support and assistance with other departmental activities and projects as needed.
MAJOR RESPONSIBILITIES:
- Answer, screen, assist, and/or forward incoming telephone calls
- Greet, announce, escort, and monitor visitors
- Monitor and maintain office and kitchen supply inventory; research vendor options, place orders as needed
- Restock and maintain organized and orderly coffee bar and kitchen areas
- Maintain organized and efficient conference room spaces and common areas
- Coordinate incoming and outgoing mail, packages, and deliveries (must be able to lift up to 35 pounds-*see abilities)
- Assist with preparations for meetings and events, including setup and breakdown
- Maintain telephone lists, calendars, and furniture inventory lists
- Assist with preparation and shipment of meeting materials
- Complete mailings for staff birthdays and anniversaries
- Submit and coordinate building maintenance and cleaning requests
- Assist with employee orientation scheduling, new hire tours, employee event planning
- Provide clerical assistance to multiple departments
- Arrange shipments and retrievals from off-site storage facility; run reports
- Manage catering orders and deliveries for on-site meetings
- Perform general clerical duties including photocopy/scan, print, mail, shred, and file
- Perform assigned duties in a manner consistent with NCCN's mission, goals, and core values
- Perform other related duties as assigned
EDUCATION/RELATED EXPERIENCE:
- High School or equivalent required
- 3+ years administrative/office assistant experience
- Strong knowledge of MS Office products, particularly Word, Excel and Outlook
- Excellent written and verbal communication skills
- Ability to deliver quality customer service (internally and externally) in a professional, helpful, and courteous manner
- Strong work ethic; approaches work with a sense of purpose, urgency and ownership
- Highly dependable
- Organized, detail-orientated, and competent follow through skills
- Ability to prioritize and multitask
- Ability to work well independently and collaboratively
- Team-player attitude and willingness to assist all departments
- Ability to lift approximately up to 35 lbs.
- This position operates in a professional office environment and is largely sedentary. This role routinely requires the use of standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines
