Purpose of the Role

The Legal Operations Executive is a key leadership position responsible for overseeing the day-to-day operations of the legal department in our Elder Law firm, specializing in Probate, Estate Planning, and Medicaid services. This role ensures efficient management of paralegals and legal assistants, identifies and resolves operational inefficiencies, and drives high-quality client service while closing cases as quickly as possible. As an attorney, the Executive will provide legal advice to clients when needed and report directly to the Managing Partner. This position combines executive-level oversight, with hands-on legal expertise to optimize our small firm's processes.


Responsibilities and Expectations

  • Lead and manage all paralegals, legal assistants, and support staff within the Legal Operations Division to ensure smooth workflows and high performance.
  • Identify inefficiencies in current processes, implement improvements to enhance productivity, and resolve issues contributing to overstaffing while maintaining or reducing headcount.
  • Oversee case management to ensure timely closure of matters with exceptional client service, including direct involvement in client advice as a licensed attorney.
  • Collaborate with the Managing Partner and other leaders to align operations with firm goals, focusing on practical, law firm-specific strategies (not corporate environments).
  • Monitor and enforce compliance with legal standards, ethical guidelines, and firm policies.
  • Foster a culture of accountability, efficiency, and client-centered excellence among the team.
  • Participate in strategic planning to support potential expansion, such as into litigation services.


Qualifications

  • Juris Doctor (JD) degree and active bar admission in Florida (or eligibility for admission).
  • Proven experience in law firm operations, preferably in Elder Law, Probate, Estate Planning, or Medicaid planning.
  • Demonstrated ability to manage legal support teams, optimize workflows, and drive efficiency in a busy legal environment.
  • Strong leadership skills with a track record of improving processes to close cases quickly while upholding high client service standards.
  • Excellent analytical, problem-solving, and communication skills.
  • Familiarity with small firm dynamics and the ability to operate at an executive level.
  • Act as a mentor for the rest of the team in Legal Operations and help guide them to achieve excellence and valuable career experience.


Compensation and Benefits

  • $120,000 - $160,000 Per year
