Description
The Billing Manager is responsible for the day-to-day billing operations, including managing the billing team, ensuring accurate and timely client invoicing, maintaining compliance with client billing guidelines and supporting attorneys with billing matters. This role requires strong leadership, analytical and problem-solving skills, good communication skills and a deep understanding of legal billing practices.
Essential Duties and Responsibilities
- Oversee the preparation and distribution of client invoices in accordance with firm and client requirements.
- Ensure compliance with client billing guidelines, including e-billing platform requirements, client billing deadlines, client accrual information, timekeeper approvals, etc.
- Review, update and document billing department processes and procedures.
- Supervise and lead the billing team, including training, mentoring and assessing performance.
- Serve as an escalation point within the billing team to resolve non-routine, complex billing matters.
- Collaborate with attorneys and legal staff to resolve billing discrepancies.
- Monitor the late bills, including follow-up with the responsible timekeepers and staff.
- Oversee client billing rates/billing arrangements and propose new billing formats/templates, as needed.
- Generate and analyze billing reports to identify trends, inefficiencies and opportunities for improvement.
- Monitor accounts receivable and assist in collections efforts, as needed.
- Effectively interact and communicate with attorneys, staff and clients.
- Ensure strict confidentiality at all times.
- Assist with special projects as requested.
- College (bachelor's) degree in Accounting, Finance, or related field.
- At least ten years of billing experience in law firm or professional service environment.
- At least five years of supervisory or management experience.
- Proficiency using 3E and eBilling Hub (or equivalent).
- Proficiency with MS Office, particularly MS Excel.
- Strong understanding of legal billing terminology, timekeeping, and task codes (e.g UTBMS).
- Excellent organizational, analytical and problem-solving skills.
- Strong attention to detail.
- Ability to multi-task, prioritize, organize work flow and use time efficiently.
- Perform at a high level in a fast-paced environment.
- Adapt to ever-changing work priorities.
- Flexibility to adapt to differing work hours when overtime is needed to meet client requests.
- Excellent communication (oral and written)
