The Senior Administrative Assistant provides high-level administrative support to executives, departments, or teams. This role requires excellent organizational skills, attention to detail, discretion, and the ability to handle multiple priorities efficiently. The ideal candidate is proactive, resourceful, and capable of working in a fast-paced, dynamic environment.
Responsibilities:
- Manage and maintain leadership schedules, including meetings, appointments, travel arrangements, and calendar coordination.
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents.
- Handle confidential information with discretion and professionalism.
- Coordinate logistics for meetings, conferences, and special events, including venue selection, catering, and materials preparation.
- Monitor and manage incoming communications (emails, calls, and mail); respond or redirect as appropriate.
- Maintain filing systems, both electronic and physical.
- Support budget tracking and expense reporting using tools like Excel or expense management software.
- Assist with onboarding of new staff and coordination with HR or IT as needed.
- Liaise with internal departments and external stakeholders on behalf of the executive or team.
- Perform other administrative tasks or special projects as assigned.
Qualifications:
- Associate or Bachelors degree in Business Administration or related field preferred.
- 5+ years of administrative support experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Ability to work independently and prioritize tasks.
- High level of discretion and integrity when handling sensitive information.
