JOB DESCRIPTION
The South and West Washtenaw Consortium (SWWC) is a collaborative partnership among six public school districts: Chelsea, Dexter, Lincoln, Manchester, Milan, and Saline. Together, the SWWC provides high-quality Career and Technical Education (CTE) programs to prepare high school students for college, careers, and lifelong learning. With hands-on training, industry-standard equipment, and real-world experiences, the SWWC empowers students across Washtenaw County to explore and pursue meaningful career pathways.
The SWWC Office Assistant plays a vital role in supporting the daily operations of the SWWC administrative office. This position is responsible for collecting and maintaining accurate student attendance records across six partner districts, supporting Count Day procedures in accordance with state guidelines, and maintaining organized and confidential student records. The role includes distributing and managing student parking permits, tracking grade data across all programs, and ensuring accurate entry in the Student Information System. Additional responsibilities include supporting order fulfillment, auditing reimbursement requests, overseeing enrollment processes, and collaborating with district counselors to maximize student opportunities. The Office Assistant also provides clerical and administrative support to the Director of SWWC, coordinates meetings and events, and handles general front office duties to ensure smooth communication and efficiency in a fast-paced educational environment.

QUALIFICATIONS
Required Education/Certification
  • High school diploma or equivalent
Required Experience
  • Proficient in Microsoft Office and Google Workspace
  • Strong organizational and communication skills
  • Demonstrates self-confidence and makes decisive decisions under pressure. Approaches challenges with assurance, takes initiative, and exercises sound judgment to make timely, effective decisions that support team and organizational goals.
  • Ability to manage confidential information with discretion
  • Ability to multitask and work independently in a fast-paced environment
Preferred Experience
  • Experience in a school or educational office setting
  • Knowledge/Awareness of Career and Technical Education (CTE) Programs and State Requirements
RESPONSIBILITIES & DUTIES
  • Oversee Daily Attendance
    • Collect and maintain accurate daily attendance records for students attending SWWC programs from six partner districts.
    • Communicate with district representatives, teachers, and transportation departments to ensure accurate reporting.
    • Address attendance discrepancies and follow up as needed.
    • Send weekly attendance reports to the six school districts
  • Facilitate Count Day Reports
    • Coordinate and execute Count Day procedures as outlined by the Michigan Department of Education.
    • Ensure all student attendance is accurately recorded and verified for Count Day and the surrounding audit window.
    • Work with teachers and support staff to verify classroom rosters and student enrollment status.
    • Communicate with district personnel to ensure all documentation and data are submitted on time.
    • Assist in identifying and correcting discrepancies in student records.
    • Maintain detailed and confidential student records, both electronic and paper, as needed.
    • Support post-count audits and prepare documentation for review by auditors or state officials.
    • Stay current with state requirements and district policies related to Count Day.
  • Manage (electronic) IK12 Forms; assign SWWC parking permits at students' request
    • Distribute, track, and manage student parking permits.
    • Maintain current records and update databases accordingly.
    • Enforce parking policy and support related communications with students and families.
  • Storing grades each trimester/semester
    • Collect, input, and verify student grades from instructors across all SWWC programs.
    • Maintain secure and organized digital and/or paper records of all student grade data.
    • Update grade information within the Student Information System (SIS) regularly and accurately.
    • Collaborate with teaching staff to resolve any grade entry errors or discrepancies.
    • Support end-of-term grading processes and archival of academic records.
  • Support order fulfillment and finance logistics
    • Assist with procurement, inventory tracking, invoice processing, budget alignment, and vendor communication to ensure timely and accurate delivery of instructional and operational materials.
    • Audit reimbursement requests to ensure accuracy, completeness, and compliance with district policies and procedures.
  • Oversee enrollment processes
    • Organize, track, and maintain all documentation related to student applications and enrollment
    • Maintain regular communication and coordination with district counselors to maximize student opportunities.
    • Facilitate student enrollment for the upcoming school year.
  • Support the Director of the SWWC as needed
    • Provide scheduling, correspondence, and clerical support.
    • Assist in the preparation of reports, memos, and presentations.
    • Coordinate meetings, events, and special projects as assigned.
  • General Office Duties
    • Answer phones, greet visitors, and provide frontline support to students, staff, and guests.
    • Maintain organized records, files, and supplies.
    • Support the daily operations of the SWWC office and collaborate with other administrative staff.
