Position Description

Reporting to the chairs of the respective departments, this position provides administrative support for the Physics& Electrical and Computer Engineering departments and is a member of astudent-oriented, multi-faceted, creative team.
Essential Functions

Administrative Support

  • Providegeneral administrative support to the department chairs and faculty asneeded, including activities such as report and spreadsheet generation,data entry, copying, and scheduling and room reservations for departmentgatherings.
  • Partnerwith the department chairs, faculty, staff, and students to help implement strategicdepartment goals including recruitment and outreach events.
  • Supportand assist faculty with teaching activities such as procurement ofnecessary supplies, interacting with Information Technology for classroomneeds, and collection of course materials (e.g. syllabi, course grades)for archival purposes.
  • Facilitateand assist with the course evaluations for faculty as needed.
  • Maintainand coordinate content on department website and social media inpartnership with chairs, faculty and staff.
  • Partnerwith the chairs and faculty to coordinate and assist in the planning ofdepartmental events.
  • Maintainnecessary departmental and student files and records.
  • Assistwith the hiring and on-boarding of new faculty and staff members.
  • RequestLetters of Appointment for part-time faculty and assist with the hiring ofstudent workers.
  • Assistchairs and faculty with academic research using university systems togather and track student data and statistics.
  • Provideadministrative support to the Electrical and Computer Engineering AdvisoryBoard: take meeting minutes, plan meetings and events, communicate withmembers, coordinate scholarship, track donations.
    Recruitand facilitate activities and meetings for the Electrical and ComputerEngineering Student Ambassadors with the chair.

Budget Activity Oversight

  • Provideaccounting support, including:
  • Trackand balance financial records for department(s) budgets, includingpurchases, reimbursements, and Procard activity.
  • Orderand record all equipment purchases.
  • Maintainfinancial records for department(s) including purchase requisitions andfinancial reports.
  • Issueregular year-to-date spending reports for the department chair(s) andreconcile departmental finances monthly.

Academic Support

  • Assistwith registration process and course enrollment as needed.
  • Supportannual class schedule, advising assignment and catalog building processesand management.
  • Workclosely with department chair to prepare and track paperwork associatedwith scheduling and curriculum changes.
  • Entercourse description edits, curriculumrevisions,additions and deletions in the universitysonline academic catalog management system and submit to Academic ProgramManager for approval.
  • Workclosely with department chair(s) to revise and enter class schedule andcourse specifics inSchedule Planner, the universitys onlinescheduling program.
  • Proctorexams as needed.

Reception

  • Providereception services for the department. Interact with students, parents,faculty and visitors in person and on the phone.
  • Respondto questions or refer students and others to appropriate contacts.
  • Assistpart time faculty and affiliates with using university software andlogistics such as attaining keys, campus cards, parking passes, etc.
  • Arrangefacilities repairs when necessary.

Qualifications

  • HighSchool diploma or equivalent (GED) and two or more years administrativeoffice support experience or an equivalent combination of education andexperience sufficient to successfully perform the essential duties of thejob such as those listed above.
  • Experiencewith MS Word, MS Excel, MS Windows, MS Outlook and Internet Explorer.
  • Experiencemaintaining a website.
  • Abilityto communicate effectively with others in writing, by phone and inperson.
  • Excellentcustomer service skills including the ability to create a warm andwelcoming environment and work with diverse populations.
  • Abilityto organize, prioritize and multi-task independently with success.
  • Allcandidates must show a demonstrated commitment to diversity and theuniversitys mission, vision, and values.

Preferred Qualifications

  • Bachelor'sdegree.
  • Experienceworking in an academic environment.

Compensation at a Glance
Salary Range: $43,500 - $47,000
Seattle University has provided a compensation range that representsits good faith estimate of what the University may pay for the position at thetime of posting. The salary offered to the selected candidate will bedetermined based on factors such as the qualifications of the selectedcandidate, departmental budget availability, internal salary equityconsiderations, and available market information, and not based on acandidates gender or any other protected status.

Hybrid Eligible

Thisposition may be eligible for a hybrid schedule after successful completion ofan introductory work period of 3-6 months. This may mean that a hybrid eligiblerole will begin on-campus initially and then will transition to hybrid formatfollowing onboarding and training. Flexible work plans are subject to periodicreview and may be changed or terminated at any time for any reason at theuniversitys discretion.
