Investor Relations Executive Assistant
Global Infrastructure Partners is seeking an Executive Assistant to work with a team of professionals within our Investor Relations team. We are looking for an individual with an events background who is technically savvy, proactive, possesses strong communication skills, and is diligent. The candidate should also be learning agile, detail oriented, and have a strong work ethic. Key Responsibilities
Manage calendars and coordinate high volume scheduling with internal and external stakeholders, including the Firm's investors (roadshows, due diligence agendas, etc.), noting importance of syncing with Salesforce Maintain IR Roadshow Tracker along with the other EAs across the IR team Book domestic and international travel, including itinerary, visa, preparation, etc. Manage emails and collaborate with reception on organizing conference room logistics Compile materials and prepare presentations for roadshows and onsite client meetings Expenses
Compile receipts and prepare expense reports in a timely manner Salesforce
Develop understanding of how Salesforce is used
links to meeting scheduling and investor contacts for meetings Review Scheduled Meetings Report and other ad hoc reports as needed Misc.
Develop relationships and work collaboratively across EAs in investment team and other counterparties Assist with special ad-hoc projects and events such as the Annual Investor Conference Back-up other members of the administrative team as needed Develop understanding of GIP / team / funds Minimum Qualifications
3+ years' experience in a corporate office environment, supporting a senior team Minimum 2 years of progressive administrative experience in a fast paced, high energy environment Excellent communication skills, both written and verbal Technology savvy Advanced level of proficiency in Microsoft Office to include Word, PowerPoint, Excel Creative problem solver and ability to influence/facilitate results Exceptional organizational skills and attention to detail Ability to interact with senior level executives and establish rapport with all levels of staff Excellent relationship building and management skills Strong, proven ability to work with others, especially across team boundaries Proficient in handling domestic and international travel, meeting planning, scheduling and logistics Learning agile and exhibits a positive and professional attitude. Exercises good judgment with confidential matters Exceptional ability to collaborate in a team environment, while taking ownership of individual results Accuracy and thoroughness in executing projects, procedures, and work output Ability to manage multiple, diverse projects in a fast-paced environment Ability to take feedback well and willing to learn For New York, NY only, the salary range for this position is USD$90,000.00 - USD$130,000.00 which is the equivalent of USD$43.27 - USD$62.50 per hour. Additionally, employees are eligible for an annual discretionary bonus, and benefits including healthcare, leave benefits, and retirement benefits.
