Fleet Coordinator
Groundworks is seeking a talented Fleet Coordinator to join our tribe in Virginia Beach, VA! The Fleet Coordinator plays a critical role in overseeing and supporting the day-to-day operations of Groundworks' fleet across the United States and Canada. This position ensures all vehicles, trailers, and equipment are properly maintained, legally compliant, and operationally ready to support our teams nationwide. The ideal candidate will bring a strong focus on operational efficiency, safety, and cost-effectiveness, while collaborating cross-functionally with over 75 branches and multiple departments. Job Responsibilities
Support the Director of Fleet and the Corporate Fleet team in managing all aspects of fleet operations. Ensure regulatory compliance for vehicle licensing, registration, annual inspections, and USDOT/FMCSA requirements. Coordinate and track the delivery of new vehicles and equipment. Manage vehicle transfers between locations. Assist local operations teams in maximizing fleet utilization and minimizing total cost of ownership. Maintain accurate records for vehicle documentation, including registrations, titles, tolling accounts, telematics systems, and fuel card usage. Schedule and monitor routine and preventive maintenance to ensure maximum uptime and fleet reliability. Prepare and distribute regular reports related to fleet performance, maintenance status, and compliance metrics. Serve as a liaison between corporate, local operations, vendors, and service providers to resolve issues and facilitate fleet support. Monitor telematics data to identify trends, improve driver behavior, and enhance operational efficiency. Support fleet safety initiatives and assist with incident investigations or insurance claim documentation. Assist with inventory management and lifecycle planning for vehicles and equipment. Manage relationships with external vendors including leasing companies, service providers, upfitters, and telematics providers. Assist with onboarding new branches or acquisitions into the fleet program. Perform other duties as assigned. Qualifications
Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to build and maintain effective relationships across departments and all levels of the organization. Proficiency in Microsoft Office Suite, especially Excel; familiarity with fleet management software is a plus. Ability to analyze data and make informed recommendations. Experience in coordinating logistics, maintenance, or compliance activities is preferred. Knowledge of USDOT and FMCSA compliance requirements is a plus. Working Requirements
