Executive Assistant

We are looking for an experienced Executive Assistant to support multiple senior executives. The ideal candidate will be a self-starter who is detail-oriented, proactive, and professional. The ability to interact with staff (at all levels) in a fast-paced environment. In this role, you need to demonstrate a high level of professionalism, and confidentiality is crucial. You will be the trusted partner to the leaders. Responsibilities: Manage complex and dynamic calendar, scheduling appointments, meetings, and travel arrangements, considering priorities and potential conflicts. Screen and prioritize incoming communications (phone calls, emails, mail), responding independently when appropriate, and ensuring timely and accurate information flow. Prepare agendas, presentations, and briefing materials for meetings. Attend meetings, record minutes, and track action items. Coordinate all aspects of travel arrangements, including flights, accommodations, transportation, and itineraries. Assist with special projects and initiatives as assigned by the President, including research, data analysis, and report preparation. Draft, edit, and proofread correspondence, reports, presentations, and other documents. Serve as a liaison between internal and external stakeholders, including board members, physicians, staff, patients, and community leaders. Maintain strict confidentiality of sensitive information. Process expense reports and track budgets. Assist with planning and coordinating hospital events and meetings. Ensure compliance with hospital policies and procedures. Perform other duties as assigned. Qualifications: Minimum five to ten years' previous administrative/executive secretarial experience required. Knowledge of medical terminology desired, but not necessary. Previous hospital experience preferred. Must have excellent secretarial skills and telephone manners. Typing 70-80 WPM and shorthand or other form of fast note taking required. Excellent spelling and grammar skills. Ability to maintain confidentiality. Proficiency in Microsoft Office (Word, Excel, and PowerPoint, Publisher) and Google Workspace. Demonstrated knowledge of Access and ACT. Overview: Founded in 1955, Dignity Health
