The Summer Olympic and Paralympic Games will be hosted in Los Angeles, California in 2028, returning to the United States for the first time in over 30 years. 2028 will be the first time LA hosts the Paralympic Games, creating an opportunity to expand awareness, understanding and inclusion of people with disabilities. LA28, the organizers for the 2028 Olympic and Paralympic Games in Los Angeles, is on a mission to create an unparalleled Games experience for athletes, fans, partners, our community and our people. The Logistics department is responsible for effectively and efficiently providing materials management and logistics support to all LA28 functions. The Senior Manager, Material Planner will be responsible for ultimately assisting the Material Planning department in identifying, presenting, collating, quantifying, sourcing, tracking, management and maintaining all material requirements of all Furniture, Fixtures and Equipment (FF&E) for the upcoming Los Angeles 2028 Summer Olympics and related events. Reporting to the Head of Material Planning, the ideal candidate will possess strong analytical skills and a high level of customer service excellence. Key Responsibilities:
Personnel Supervision Supervise a team of Material Planners Assist with oversight of the Logistics sub-function Material Identification Work directly with LA28 Functional Areas to identify FF&E requirements for all competition and non-competition venues across the games footprint Assist with the creation of a FFE material catalog of items that will be purchased for both the Olympic and Paralympic games Help build and maintain a material inventory database - including part numbers, descriptions, commodity codes and other specifications - for all items that will be sourced for LA28 In collaboration with Technology, assist with the implementation of the FFE data gathering system called SAM (Service Allocation Matrix) Aid in the creation of training materials (user guides, presentations) and educate functional areas in the use of the FFE gathering systems Ensure the material catalog with product specifications are loaded into the FFE system Contribute data to the financial analysis reports, as required Assist in the refinement and optimization of FFE allocation needs across the organization being fiscally responsible with LA28 funds Material Sourcing Participate in the development of the FF&E procurement schedule, complying that all timelines are met, and working to identify any issues affecting the schedule Assist in sourcing all FF&E ensuring procurement procedures are fulfilled properly; also assist in the purchase request submissions if needed Support and implement the Change Management Process for FFE allocation and resolve problems related to the orders of FF&E Assist with monitoring shipping and ground transportation schedules for purchased FF&E from suppliers to point of delivery Planning Support the development of Rate Card specific FFE items Assist in drafting procedures for accepting, fulfilment, delivery, placement, and recovery of rate card FFE orders Work with Procurement and vendors to identify special LA28 requirements to assure the highest level of service (i.e. bar coding, special packing and labeling, security requirements) Establish working relationships with personnel from major suppliers in order to maximize efficiency in the ordering, tracking, and delivery of FFE In collaboration with the other Logistics work streams, assist in coordinating and receiving shipments in and out of the warehouse working on the ground if required Operations Monitor, track venue/commodity specific and inventory levels to ensure the needs of all functions will be met during tournament time Assist in the coordination of all move orders (i.e. from warehouses to venues, venue-to-venue and venue to warehouse.) Remain in constant communication with Venue Logistics to ensure the needs of the venue and functional areas are being met in a timely manner Oversee the on-venue procurement of assets through P-Cards Work closely with Functional Areas delivering high quality customer service and problem resolution if needed Participate in the Logistics Coordination Center ensuring high level of support for material planning processes during tournament time Work closely with financial departments to fulfill properly any audit requests for the procured FF&E if needed Participate in the dissolution of LA28's assets project if required ensuring purchase procedures are closed properly and dissolution plans fulfilled Background & Qualifications:
5+ years' experience in end-to-end Material Planning Previous Material Planning experience in a major event is strongly preferred - Olympic & Paralympic Games, Asian Games, Commonwealth Games, European Games or FIFA FWC will receive strong consideration Proven track record in managing complex projects, multi-tasking, and prioritization of tasks and deliverables Leadership skills in managing a diverse team Excellent analytical skills: ability to make decisions both independently and within a team environment Strong IT skills including MS Office (Word, Excel, PowerPoint, Outlook) A team player with a strong customer service focus with a desire to go the extra mile Demonstrate ability in upward / downward communication Competence to present and clearly communicate to audiences in a multitude of public / private settings, as required Willing to work on complex, tight, immovable timelines while maintaining a positive attitude, exhibiting patience, persistence and Experience working in a multi-cultural, multi-national environment High attention to detail Position Requirements:
Expectation to work in LA28 offices in Los Angeles Primarily office-based with extended periods of sitting, working on a computer, and attending virtual or in-person meetings Occasional travel to various venues, warehouses, or vendor meetings may be required Education:
An undergraduate degree or relevant Logistics preferred / Managerial certification
