Executive Administrative Assistant

Our client is a growing and established general contracting firm based in Manhattan, specializing in commercial renovations throughout New York City. We're seeking an organized and proactive Executive Administrative Assistant to support the leadership team and help keep operations running smoothly. Job Description

Provide direct administrative support to the company owner and senior project managers. Manage calendars, schedule meetings, and coordinate appointments. Organize and maintain company files, including contracts, permits, insurance certificates, and subcontractor agreements. Prepare and edit correspondence, reports, and presentations. Track project timelines and assist with basic project coordination tasks. Handle incoming calls, emails, and mail; ensure timely follow-up on important communications. Maintain office supply inventory and oversee basic office operations. Assist in invoice tracking, expense reports, and coordination with bookkeeping staff. Liaise with clients, vendors, subcontractors, and city agencies as needed. Support HR tasks such as onboarding new hires and maintaining employee records. 3+ years of administrative experience, preferably in construction or a related industry. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and project management tools (e.g., Buildertrend, Procore, or similar) is a plus. Experience handling confidential and sensitive information with discretion. Ability to work independently and prioritize tasks in a dynamic environment. What's on Offer
