Association Operations Coordinator II
The Cornell Cooperative Extension Putnam County Operations Coordinator is responsible for assisting the Executive Director with planning, managing and coordinating Association communications and facilities operations. With moderate initiative and discretion, the Operations Coordinator provides support to the Executive Director and the Finance Manager and other staff as needed. This position assists with the overall administration of the Association including the development and implementation of all communications and public relation strategies as well as database management. The Operations Coordinator will assist the local IT representative under guidance of the Shared Business Network (SBN) Lead IT Manager and provide back-up for reception. Required Qualifications: Associates Degree or equivalent education, High School Diploma/GED and one year transferable experience. Experience relevant to the role of the position. Ability to meet travel requirements associated with this position. Ability to work flexible hours which may include evenings and/or weekends, as appropriate. Proficient in computer operations of the Windows operating system. Ability to communicate clearly verbally and in writing in English, and to understand and effectively carry out standard practices and instructions. Must be able to ensure confidentiality of information relating to Association, financial and sensitive personnel matters. Ability to gather, consolidate and analyze facts and draw conclusions. Ability to set goals, initiate, plan, and organize work. Ability to work under pressure. Ability to establish and maintain effective working relationships with members of the Association in order to accomplish planned Association objectives. Must demonstrate a high degree of accuracy, integrity, sound professional judgment, tact, and maturity to effectively relate to people in order to accomplish Association's goals. Ability to display commitment to and enthusiasm for the mission of CCE. Ability to maintain a positive and professional attitude and appearance. Maintain a positive public image of CCE when dealing with clients, volunteers, and stakeholders. Must be able to work cooperatively in a team effort on a day-to-day basis. Preferred Qualifications: Knowledge of marketing, social media, governance, fund development, and DonorPerfect. Ability to speak, write, and read the Spanish language with aptitude. Responsibilities/Essential Functions: Administrative Responsibilities:
Direction - 10% May provide assistance to the Executive Director in planning the fulfillment and facilitation of organizational operations, including those needed to sustain, integrate, and enhance personnel, administrative, marketing, and programming efforts. May take initiative and work under guidance of Executive Director to plan Association meetings and conferences, e.g., Board and Committee meetings and orientation, including but not limited to, Board Retreat, Annual Meeting, stakeholder dialogues, etc. Provide support to the Development Committee of the Board, the Executive Director, and Board of Directors for the planning of events, promotions, and communications. Assist with planning overall communication strategy, including social media, press, etc., for the Association as well as specific strategy for program areas and programs. Management - 15% Under guidance of Executive Director, assist with efforts to maintain and guide a professional work atmosphere and handle operations by using sound organizational procedures and policies. Provide management support of Board, Association, and Development events, promotions, and communications. Under guidance of Executive Director, assist with the Communication and Fund Development efforts of the Association based on Executive Director and Board strategies. Ensure management of all Association and Board official records in accordance with appropriate records retention schedules. Ensure proper records of meetings are recorded and maintained and Board decisions are drafted, communicated, and implemented, including meeting notices and other open meetings law requirements. Coordination/Operation - 70% Provide confidential administrative support to the Executive Director: correspondence, and other Board related activities. With Executive Director guidance, coordinate and arrangement of meetings and conferences, e.g., Board and Committee meetings and orientation, including agendas, minutes, reports, ensuring proper records of meetings are recorded and maintained and Board decisions are drafted, communicated, and implemented. With Finance Manager guidance, update and maintain DonorPerfect database, and complete minor bookkeeping tasks. Update the Association's website, including the postings of PDFs, photos, and videos. Also track website statistics (hits, etc.) Coordinate with program staff to create and maintain Association social media (Facebook, Twitter, etc.) posts, website updates, and all electronic newsletters. Assist in the coordination and staffing of special events, such as fundraising events and fairs and all staff activities. Coordinate and/or create communications materials: flyers, press releases, publications, radio, website, and social media, executing required steps as needed (printing, mailing, delivery). Complete special reports or projects as assigned. Maintain strong relationships within and external to the Association for regular meetings and communications. Maintain Board Member Elected Volunteer Records and general volunteer records. Maintain Association archives and coordinate all records retention activities including care, scheduling, designations, inventory, and disposal and preservation. Maintain building safety files and materials. Service as liaison between CCEPC and County for facilities requests. Assist local IT representative under guidance of SBN Lead IT Manager. Serve as back-up reception and phone coverage. Other duties as assigned. Professional Improvement - 5% In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities. Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned. Health and Safety -

This is a full-time, 35 hours per week, non-exempt, benefits eligible position. Compensation paid at the rate of $22 to $25 per hour, commensurate with experience.
