Administrative Support Associate
We are seeking a highly organized and motivated Administrative Support Associate to join our busy Preoperative and Ambulatory Surgery department. This position plays a vital role in ensuring the smooth and efficient operation of both clinical and administrative processes. The ideal candidate is detail-oriented, adaptable, and comfortable working in a fast-paced, patient-focused healthcare environment. Responsibilities: Provides administrative support to the Department Manager and clinical teams, including scheduling, document preparation, data entry, and correspondence. Assists with maintaining accurate records, departmental files, meeting agendas, and minutes. Coordinates and supports departmental meetings, training sessions, and special projects as needed. Serves as a point of contact for internal and external communication. Maintains confidentiality and adhere to HIPAA regulations and facility policies. Cross-train to support front desk operations in Preoperative and Ambulatory Surgery units:
Greet and register patients. Answer phones and route calls appropriately. Schedule and confirm patient appointments. Assembles/maintains patient records, filing data, and obtaining reports and data necessary for departmental operations.
Collaborates with clinical and administrative staff to promote workflow efficiency and excellent patient experience. Qualifications: High school diploma or equivalent required; associate degree or coursework in healthcare administration or a related field preferred. Minimum of 12 years of administrative experience, preferably in a healthcare setting. Excellent communication, customer service, and organizational skills. Ability to multitask and prioritize in a dynamic environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with electronic health record (EHR) systems preferred.
