Job Description Summary

The purpose of this position is to provide leadership and management for the facilities organization at a specific location, set of buildings, or campus environment. The Facilities Manager is responsible for the day-to-day implementation of policies, procedures, programs, and workplace services that ensure a well-managed and maintained building. A key focus is on responding positively to tenant concerns, maintaining environmental health and safety, and managing quality programs in alignment with the client's goals. This role also oversees activities, financials, vendors, and manpower for current and future building needs.

Job Responsibilities

Ensure daily operations of the facility or campus, including custodial, life-safety, engineering, site services, and maintenance, comply with company policies and client directives.

Manage contracts, review regularly, and ensure invoices match contract terms.

Supervise maintenance programs for interior and exterior conditions of properties.

Respond promptly to tenant and occupant requests, overseeing contract programs to meet their needs and resolve issues efficiently.

Complete and maintain accurate site documentation and reports, such as property information, safety manuals, compliance logs, and other required records.

Prepare, review, and approve budgets, financial reports, contracts, expenditures, and purchase orders related to facilities.

Coordinate annual budgets, reforecasts, and business plans; assist in developing capital budgets and long-term maintenance plans.

Gather and analyze data to assess facility management objectives.

Hire, train, motivate, and evaluate facility staff, maintaining positive relations.

Ensure compliance with management contracts and all related requirements.

Monitor tenant and vendor insurance compliance and coordinate claims as needed.

Qualifications

Bachelor's degree in Facilities Management, Real Estate, Project Management, or Business Administration.

5-7 years of experience in commercial high-rise, campus, or property management.

Experience in leasing, construction, engineering, and property operations preferred.

Knowledge of critical system environments and cost reduction programs preferred.

Certifications such as CFM, IFMA, or BOMA are recommended.

Ability to read blueprints and understand management agreements.

Proficiency in Microsoft Office and financial systems like Yardi is preferred.

Work Environment & Physical Demands

This role operates in a professional office setting, requiring use of standard office equipment. Travel between properties may be necessary. Physical demands include communication, operating office machinery, moving around the workplace, and remaining stationary for extended periods.
