Controller, full-time
Douglas Pancake Architects (DPA) is seeking an experienced, hands-on Controller/Business Manager to join our leadership team. This vital role oversees all financial functions of the firm, manages human resources, handles insurance matters, and is responsible for the administrative and operational aspects of office management. The Controller will report directly to the Principals and actively contribute to achieving the firm’s strategic goals.

DPA is a boutique architectural firm specializing in senior housing and healthcare design. We are dedicated to creating supportive, healing environments for the most vulnerable members of our community. Our firm culture is collaborative, stable, and deeply committed to our clients and team. Key Responsibilities: Finance & Accounting Oversee all financial operations, including payroll, accounts payable, billing, project accounting, cash management, and financial reporting. Manage tax return preparation and coordinate with external accountants. Management of Ajera (or Similar) accounting platform for accounting and timesheets Provide weekly and monthly financial reports to Principals, including cash flow, monthly expenses, and revenue reports. Evaluate current and future processes to predict profitability and develop tools and procedures to maximize it. Assist Project Managers in managing project budgets, overruns, and additional services. Human Resources Manage health insurance, benefits, and 401(k) plan. Manage employee onboarding and terminations, resolve employee concerns, and support recruitment efforts. Facilitate employee reviews. Manage licensing renewals for principals. Office Administration Manage the office space, such as stocking the office supplies, coordinating office maintenance, repairs, and equipment needs. Primary liaison with the property manager. Primary liaison with IT consultant. Maintain and renew office leases, software licenses, contracts, and business insurance. Contract Administration Review, proof, and track project contracts, subconsultant agreements, and additional service requests. Manage project records and subconsultant insurance certificates Business Development Support Review and proof proposals, marketing materials, and social media posts. Qualifications: Minimum of a bachelor’s degree in finance, accounting, or business administration Significant experience (preferably 10+ years) in finance and operations leadership, ideally within an architectural, engineering, or professional services firm. Strong understanding of HR, contracts, and office management. Excellent communication skills (written and verbal) and a solutions-oriented approach. Highly organized, detailed, and thorough Software skills required:
Office 365 (Word, Excel, Outlook, Teams) Bluebeam Revu Experienced with accounting software (Deltek Ajera and QuickBooks preferred)
Experience in manually processing payroll. Authorized to work in the U.S. Why DPA?
