Position Overview:

Enlace Chicago partners with neighborhood Chicago Public Schools in Little Village to transform them into fun, safe, and innovative community-driven learning environments for youth and adults during after school hours. A Community School extends its walls into the community by coordinating classes, resources, events and opportunities for academic acceleration and intervention, arts and cultural enrichment, sports and outdoor programming, summer youth opportunities, middle school to high school transition, post-secondary success and career exploration, health and wellness and adult education with family leadership opportunities.

The Program Assistant

is an integral part of the community schools staff, as it has an organizational and logistical component. The program assistant is responsible, along with the Resource Coordinator, to maintain an organized database for afterschool programming in order to keep grant compliance. The program assistant is responsible for attendance, timesheets, material requests, assisting with program communications including creating fliers, announcements, emails, and other paperwork, in order to assist the Resource Coordinator in after school programming logistics.

Key Responsibilities: Collect and manage daily program attendance, entering data into Cityspan by daily deadline (no later than Friday), ensuring 100% completion by end of month. Support RC with the distribution, collection, and data entry of enrollment packets. Maintain an organized database of program participants using Excel (including masterlist of Mon–Thur schedules per student and participant lists by program). Make calls home to participants’ parents as needed. Maintain supplies and inventory lists, ensuring

instructors/programs

have needed supplies daily. Maintain an organized workspace with documents, information, and schedules easily accessible. Assist with designing, translating, and copying documents as needed. Assist with grant compliance and evaluation measures across youth and parent programs, including survey distribution, input, and recording. Create and distribute flyers, field trip forms, and other recruitment materials. Attend and assist with general school events and after-school activities. Attend professional development and training as required. Perform other duties as assigned. Core Competencies: Attention to Detail Ensures accuracy and completeness in data entry, reporting, and documentation. Organization Maintains structured databases, supply inventories, and workspace systems. Communication Skills Effectively communicates with parents, staff, and external partners; able to translate and adapt materials for different audiences. Time Management Meets deadlines consistently for attendance reporting, supply readiness, and event preparation. Collaboration Works cooperatively with RC, instructors, and other staff to support program needs. Problem-Solving Identifies and addresses logistical or administrative challenges efficiently. Adaptability Adjusts to shifting priorities and handles varied tasks as needed. Technical Proficiency Skilled in using Excel, Cityspan, and other relevant software for data management. Customer Service Orientation Provides supportive, professional assistance to parents, students, and colleagues. Commitment to Professional Growth Participates in training and development opportunities. Requirements:

Qualifications: Very organized with strong attention to detail. Ability to take initiative, self-starter. Strong oral and written communication skillsAbility to work well on a team. Must bring a positive attitude and punctuality to the work. Strong documentation and records management skills. Flexible schedule to be able to work during day and/or evening hours. Must complete CPS background check. Computer literacy required. Administrative experience preferred. Bilingual English/Spanish preferred. Experience working with youth is preferred. Compensation:

$20/hour for 25 hr a week.
