Administrative Assistant / Office Manager
160over90 is currently seeking an Administrative Assistant / Office Manager who will be responsible for providing administrative support to the senior leadership team and help to run the day-to-day functions of the Atlanta Office. The ideal candidate will exercise discretion and independent judgment, as well as the ability to interface and work with all senior level business leaders and their teams. The candidate will have good research skills and the ability to effectively manage scheduling of calls, meetings, and a high-volume workload.
Office Manager Responsibilities
Administrative
- Securing security access cards for all new hires and parking/replacement requests
- Submitting visitor lists each week with security
- New hire name plates
- Getting mail, receiving packages, distribution of mail and packages
- Monthly allocations to finance for non-160/90 employees that sit in our office
- New hire office orientation
- Cover main line office phone
- Seating plan for new hires or desk move requests
- POC for cleaning company in the office / coordinating additional cleaning
Building Management
- Building management liaison
- Employee communication from Building
- Submitting invoices for rent and parking
- Submitting security and building maintenance requests
- Coordinating HVAC maintenance and troubleshooting issues
- Coordinating with appliance vendors to clean ice makers and water machines and general maintenance contracts
- Coordinating vendors for painting general maintenance not covered by the building
- Coordinating with furniture vendors for replacement or new orders when needed
Office Day to Day
- Ordering office supplies, coffee, etc.
- Running and emptying dishwashers
- Refilling coffee, drinks and snacks in kitchens
- Cleaning out desks where employees have left and shipping personal belongings back to employees that have left in conjunction with managers
Culture Captain:
- Support office activities around employee culture and celebration
- Represent Atlanta within 160/90 broader culture captain initiatives
Executive Support of Office Lead
- Handle scheduling of meetings, managing calendars, coordination of travel and expense reports
- Liaise internally and externally as necessary with all levels of personnel, clients and business associates
- Own coordination of office wide/experiential division meetings including developing presentation materials
- Sit in meetings as necessary to take notes and detail action items
- Work with IT to ensure all Experiential meetings
- Work on special projects as needed

You Have These:
- Experience assisting a senior level executive preferred
- Internet/Technology savvy
- High proficiency with MS Office (Teams, Word, Excel, PowerPoint and Outlook)
- Experience with Concur for Travel Booking and Expense Reporting
- Ability to work with all levels of management
- Exceptional grammar and proofreading skills required
- Ability to handle multiple assignments and deadlines with accuracy
- Detail-oriented and proactive
- Exceptional interpersonal skills
- Strong written and oral communication skills
- Professional demeanor
