Position Overview

As Office Manager at FCP Services, youll be the operational hub of our workplace. Youll help shape and promote a positive and vibrant workplace culture while making sure that team members feel supported and informed.

Key Responsibilities

Office/Business Operations

  • Oversee daily office operations to ensure a well-organized, clean, and productive environment.
  • Provide high-level administrative support to leadership and project teams including calendar and travel coordination, document preparation, presentation preparation and internal communication support.
  • Order and maintain office supplies and equipment.
  • Serve as the point of contact for facility needs and vendor relationships.
  • Gain a strong understanding of the business through various administrative tasks, cross functional communication, and providing assistance to leadership.
  • Assist in customer onboarding, proposals, and exceptional customer service.

HR & Onboarding Support

  • Coordinate and route HR and onboarding documentation in collaboration with HR leadership.
  • Assist in scheduling interviews, new hire orientation, and internal onboarding communications.
  • Maintain and organize personnel files and internal systems.

Payroll & Administrative Coordination

  • Assist with review of employee timesheets and time-off records.
  • Assist with payroll preparation and liaise with finance/payroll providers to ensure accuracy.
  • Maintain confidentiality and compliance in handling sensitive employee data.

IT & Systems Coordination

  • Manage basic IT support needs including hardware inventory and troubleshooting with vendors as needed.
  • Set up and track laptops, email accounts, user access, and software permissions for new hires and departing employees.
  • Keep internal tech documentation and user records up to date.

Compliance & License Tracking

  • Maintain accurate records of all contractor and business licenses, certifications, and insurance requirements.
  • Track renewal dates and ensure timely filing to remain in compliance with state and local regulations.

Travel Management

  • Book and manage travel arrangements for employees, including flights, accommodations, and car rentals.
  • Ensure employees have the support and information needed while traveling.

Internal Communications & Culture

  • Lead internal communication efforts across teams, including announcements, newsletters, and event updates.
  • Champion company culture initiatives: coordinate employee engagement activities, team events, celebrations, and wellness programs.
  • Be a culture ambassador and morale booster who builds strong interpersonal connections.

Qualifications

  • 3+ years of experience in office management, executive administration, HR coordination, or similar roles.
  • Strong organizational and multitasking abilities with a proactive and solutions-oriented mindset.
  • Excellent written and verbal communication skills.
  • Comfort with HR systems, Microsoft Office, and digital tools (e.g., G Suite, Slack, payroll/time-tracking software).
  • Ability to handle confidential information with discretion and professionalism.
