We are seeking an experienced Executive Assistant to provide high-level support to the CEO of our local client. This role requires absolute confidentiality, exceptional organizational skills, and the ability to operate in a fast-paced environment with frequent changes. The ideal candidate will have a proven track record supporting C-level executives, particularly in highly private and dynamic organizations.
The Executive Assistant will be a trusted partner, managing the CEO’s complex schedule, coordinating extensive travel, and handling sensitive personal and professional matters. This is a high-visibility role that demands discretion, flexibility, and superior judgment.
Our client is a local, 3rd generation, privately held organization with 75 years in successful growth. They are in a period of significant expansion and seek top-tier talent to support our leadership team.
Key Responsibilities
- Serve as the primary point of contact for the CEO, managing communications, prioritizing requests, and ensuring seamless daily operations.
- Manage a complex and frequently changing calendar, including board meetings, industry events, and personal commitments.
- Coordinate extensive travel arrangements, including domestic and international itineraries and last-minute changes.
- Provide support during and outside of traditional business hours as needed.
- Oversee high-level correspondence and ensure the CEO is prepared for meetings and commitments.
- Maintain confidentiality with zero tolerance for breaches — discretion is non-negotiable.
- Handle light personal support as needed (e.g., assisting with payments, coordinating with household staff).
- Partner with the CEO to anticipate needs, resolve scheduling conflicts, and manage
- Assist with special projects and liaise with internal leadership and external partners.
- Ensure smooth transition and cross-training with the current Executive Assistant.
Qualifications
- 10+ years of experience as an Executive Assistant supporting a CEO or other top-level executives.
- Demonstrated ability to manage highly confidential information with integrity.
- Experience coordinating complex travel arrangements and managing rapidly changing schedules.
- Strong communication and interpersonal skills; ability to build trust and work closely with high-profile individuals.
- Highly organized, detail-oriented, and proactive in anticipating needs.
- Tech-savvy with proficiency in Microsoft Office Suite; ability to learn new tools quickly.
- Flexible schedule to accommodate urgent needs outside of traditional office hours.
- Background checks and reference verifications will be extensive for this position.
Additional Details
- Work Schedule: Primarily business hours with occasional after-hours support; estimated 40 hours per week.
- Work Environment: Hybrid – mix of on-site (corporate office or CEO’s home office as needed) and remote.
- Compensation: $115,000 – $130,000 depending on experience.
