We are a small but ambitious accounting practice that is rapidly growing. We provide a range of services including bookkeeping, payroll, sales taxes and fractional CFO services. We are passionate about delivering personalized financial solutions to small and medium-sized construction and real estate businesses. We are looking for committed individuals who want to grow with us, as there is plenty of room to grow after 90 days of successful performance.
Position Overview:
We are looking for a skilled and experienced Bookkeeper to join our team. In this role, you will be responsible for managing the day-to-day bookkeeping functions for a portfolio of clients. The ideal candidate will have a strong understanding of accounting principles, proficiency in accounting software, and a keen eye for accuracy. You will also play a pivotal role in building & supporting our internal bookkeeping department, preparing financial reports, ensuring compliance, and supporting our clients in making sound financial decisions. The ideal candidate will be resourceful, intuitive, and detail-oriented, with strong accounting and leadership skills. Were looking for someone who is eager to grow and continuously improve their skills with the goal of advancing into a Senior Bookkeeper role that includes quality control responsibilities.
Key Responsibilities:
1. Administrative Support
- Coordinate, schedule and manage calendars, appointments, and meetings, conference calls and team collaboration sessions, ensuring efficient time management.
- Meeting Preparation: Arrange meeting logistics and preparing agendas with team members and clients alike.
- Handle email management, including prioritizing, responding, and organizing emails with clients
- Follow-ups: track action items, and ensure follow-up on open items, pending emails and other decisions and tasks.
- Prepare documents, reports, and presentations as needed for client meetings and internal reviews.
- Filing: Maintain and organize digital files, ensuring uniform naming, tags, locations, accessibility and confidentiality.
- Sensitive Information: Handle confidential information with discretion and maintain a high level of confidentiality.
- Full-Cycle Bookkeeping: Manage and maintain accurate financial records for multiple clients, including accounts payable (AP), accounts receivable (AR), general ledger (GL), and bank reconciliations.
- Financial Reporting: Prepare monthly, quarterly, and annual financial statements, including balance sheets, income statements, and cash flow statements.
- Bank & Account Reconciliations: Conduct thorough reconciliations of bank accounts, credit card statements, and other financial accounts to ensure accuracy.
- Month-End Close: Lead the month-end and year-end closing processes, ensuring all entries are posted and financials are accurate and complete.
- Client Communication: Act as the main point of contact for assigned clients, addressing inquiries, providing updates, and ensuring client satisfaction with timely and accurate financial reporting.
- Tax Preparation Support: Assist with tax planning, filing, and liaise with external tax professionals during tax season to ensure compliance with federal, state, and local regulations.
- Informational tax returns and other compliance: Compile, file and remit sales tax returns, payroll returns and year-end 1099 tax returns
- Software & System Proficiency: Utilize accounting software (QuickBooks, Xero, etc.) to maintain ledgers, reconcile accounts, and generate financial reports.
3. Process Improvement
- Identify opportunities to streamline bookkeeping processes and implement best practices for greater efficiency and accuracy.
- Communicate and or Implement solutions to automate repetitive tasks, reducing administrative burdens on preparers and reviewers, alike.
4. Research & Special Tasks
- Conduct research on vendors, expenses and other analysis as requested by the project.
- Assist with ad hoc tasks and special projects as needed, providing flexibility and resourcefulness in a fast-paced environment.
- Comfortable navigating evolving technology and digital systems.
- Proactively learns new tools, software, and workflows as needed.
- Adapts quickly to updates, changes, and process improvements.
- Demonstrates confidence, curiosity, and initiative when tackling tech-related responsibilities.
Key Qualifications:
Experience & Skills:
- Bachelor's Degree in accounting or related field preferred, but equivalent experience will be considered.
- Minimum of 5+ years of bookkeeping or accounting experience, preferably in a client-facing role or within a public accounting firm.
- QuickBooks Certified ProAdvisor, Xero Certification, or other accounting software certifications are a plus.
- Proficient in accounting software such as QuickBooks Online, Xero, and Microsoft Excel. Familiarity with other financial management tools is a bonus.
- Proven experience working remotely in a remote capacity, with a focus on managing clients across different time zones.
- Ability to prioritize tasks, meet deadlines, and manage multiple client accounts efficiently.
- Strong organizational, project management, attention to detail, and time management skills.
- Strong background or understanding of accounting functions, operations, process optimization, management, and or team leadership
- Strong analytical and problem-solving skills, with the ability to interpret financial data and offer actionable insights to clients.
- Exceptional attention to detail, accuracy, and consistency in maintaining financial records.
- Strong verbal and written communication skills to effectively interact with clients, colleagues, and external stakeholders.
- High proficiency in Google Workspace (Docs, Sheets, Calendar, Voice, etc.).
- Experience in Construction and or real estate industry preferred

Mandatory Technical & Other Requirements:
- Reliable high-speed internet connection and a professional home-office setup with a laptop/PC.
- A working camera and microphone for virtual meetings
- Secure router or VPN -absolutely NO Public wifi connections are allowed-
- Ability to work during Pacific Standard Time and/or Mountain Standard Time with flexibility to accommodate occasional changes in schedule.
- Missing hard deadlines is not acceptable in our line of work (ie sales tax returns, payroll returns, 1099s etc). If we can help move other deadlines, such as month-closes or financial reviews, to accommodate you/your schedule, we will always try but moving hard deadlines is not one of our superpowers so this individual must understand that staying organized is crucial .
- Tech savvy! We are implementing AI and other software into our workflows to automate and improve our processes.
Work Location & Flexibility:
This role requires working on-site for the first 30 days to ensure proper onboarding, training, and team integration.
After demonstrating a solid understanding of the role and responsibilities, this role may become eligible for hybrid work starting at 60 days.
With a successful performance review at 6 months, this role may be considered for a fully remote arrangement.

Salary Range: The first 90 days of employment will be as an independent contractor paid between $25 - $30 per hour. The expectation is that you will work a minimum of 30 hours a week and a maximum of 40 hours a week. If after 90 days, your performance review confirms your understanding of the business operations and needs as well as your skillset to take the business forward, you will be eligible for W2 employment and a possible pay increase.
