Operations Specialist

We are seeking a driven Operations Specialist to support and enhance daily operations in a rapidly growing defense manufacturing company. Reporting directly to the Director of Operations, this role will own and assist in key functions across HR, talent acquisition, process creation & automation, office management, vendor management and. You will help implement systems, streamline workflows, and ensure smooth day-to-day execution, enabling leadership to focus on strategic priorities. This position is ideal for someone who thrives in fast-paced environments, learns quickly and loves to solve problems, no matter what kind. Key Responsibilities:
Talent Acquisition & Onboarding: Manage the applicant tracking system (Ashby)
candidate communications, scheduling, follow-up, and system optimization. Conduct initial video screening calls to verify eligibility and gather candidate information. Coordinate the candidate experience throughout the hiring process. Support onboarding for new employees, including forms, system setup, and training coordination. Communication, Marketing & Social Media: Assist with external communications, including posting on LinkedIn and X/Twitter. Create simple graphics using Canva or similar tools. Support email marketing sequences and light automation tasks. Coordinate with branding and marketing consultants as needed. Office & Facilities Management: Oversee daily office operations, including supplies, lunch service, and workspace setup. Manage vendor relationships for office and facility needs. Support event planning and coordination. Provide interim facilities support until a dedicated facilities role is hired. Process Creation & System Management: Develop and document standard operating procedures (SOPs). Organize and maintain the company Google Drive and Slack channels. Configure and optimize operational systems (payroll, applicant tracking, credit card expense management). Create and maintain flow charts, org charts, and responsibility/ownership matrices (RACI). Automation & Technical Integration: Implement automation between software systems using APIs and related tools. Integrate platforms for cross-system data gathering and reporting. Research and propose new tools to improve operational efficiency. General Executive Support: Attend calls with the Director of Operations to take tasks and follow up. Remove low-priority tasks from leadership workload to reduce bottlenecks. Provide cross-functional support to Finance, Marketing, Facilities, Operations, and Engineering teams. Requirements: Experience: 2+ years in operations, process improvement, or related roles. Highly proficient general computer skills: typing speed, Email/calendar management, Video conferencing, software and tool adaption, Systems management Strong organizational, communication, and project management skills.
