Baby Talk Program Assistant
The Baby Talk Program Assistant organizes materials, manages shipments, assists with scheduling, helps share our mission in the community, and supports both our team and participants with a positive and helpful approach. This position also puts together participant materials and welcome bags for new families. This position provides essential support to grow maternal and infant health programs within the South-Central region. This includes coordinating meetings and classes, tracking participant attendance, and helping in classes when needed. Based at the Wesley Medical Arts Tower, this is a hands-on, in-person role that blends organization, outreach, and heart. Job Duties: Assemble class binders, participant folders and welcome baby bags Organize and maintain program materials, including receiving and processing shipments Inventory program supplies to ensure adequate materials are available for participants Prepare and mail items to regional or statewide participants and stakeholders Distribute promotional program materials within the region Transport incentives to/from storage Printing and copying Assist in asset mapping of resources and stakeholders for maternal and infant health for the South-Central region Promote the Baby Talk program to communities and to other organizations Scheduling in person and virtual meetings and outreach Assist in creating agendas and meeting minutes Tracking meeting attendance Enter data relative to the program Following up to ensure staff are up to date on referral inboxes Assist in coordinating class coverage (staff and instructors) Send birth outcome survey reminders Assist in Supporting Baby Talk Clients as Needed (10%) Facilitate binder and incentive pick up Act as back up if needed for Baby Talk Class Coordination Obtain necessary authorizations, consent and data from clients Facilitate classes and class logistics Schedule clients to each class in the data portal system (e.g. Nightengale Notes) Support Baby Talk Instructors during classes Use the standardized reminder systems for all participants (e.g. text messages or reminder calls) Respond to participant questions and concerns Work Environment: This position is in-person with no remote work option. Office is location on the Wesley Medical Center campus in the Wesley Medical Arts Tower. Required Qualifications: Education: High school diploma or GED Work Experience: Experience with databases, email, the internet, Zoom, Teams, Microsoft Word, Excel, and PowerPoint Preferred Qualifications: Work Experience: Bilingual in Spanish or other relevant language, Experience working with community-based programs, health departments, clinics or other social service organizations Skills: Excellent interpersonal skills and the ability to work effectively with others, in person, by phone and by virtual platform (e.g., Zoom, Microsoft Teams) Self-directed and able to exercise independent judgment Effectively organize and concurrently manage daily tasks Maintain confidentiality Experience with data collection and entry Critical thinking skills Comprehensive Benefits Package: Coverage begins on day one for health, dental, and vision insurance and includes health expense accounts with generous employer contributions if the employee participates in a qualifying health plan. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above. Pay Range: $21.09 - $28.47 Minimum $21.09 Midpoint $24.78 Maximum $28.47
