About Us Intex Technologies is a manufacturing company located in Hudsonville, MI with approximately 95 employees across two shifts. We are seeking a dependable, organized, and bilingual Office Administrator to oversee administrative functions, support internal communication, and ensure smooth coordination of facility and office operations.
Job Summary The Office Administrator is responsible for managing daily front office operations, assisting with internal communication across both shifts, coordinating facility services, and supporting various company functions. This position will also work closely with the HR team to assist in recruitment efforts, orientations, onboarding, employee training coordination, and employee engagement events. The ideal candidate is fluent in both English and Spanish, detail-oriented, approachable, and thrives in a fast-paced environment. Requirements:
Key Responsibilities ? Greet visitors, answer phones, and direct inquiries in a professional and welcoming manner ? Maintain a clean, organized front office and breakroom ? Facilitate communication between day and night shift teams ? Translate written and verbal communication between English and Spanish ? Coordinate with external vendors including: Cleaning crew, Lawn care, and Snow removal services ? Handle general administrative tasks such as data entry, filing, scheduling, and document prep ? Monitor and order office and breakroom supplies ? Support company leadership with day-to-day operational needs and special projects ? Support HR with recruitment and employee support tasks, including: - Scheduling and coordinating interviews - Communicating with job candidates - Assisting with onboarding paperwork - Supporting new hire orientations and employee training coordination - Helping to plan and execute employee events, celebrations, and company activities ? Oversee office and building operations, including: - Ensuring shared spaces are clean and stocked - Acting as point of contact for facility-related issues - Coordinating services like HVAC and plumbing - Managing basic maintenance of office equipment - Maintaining basic safety supplies ? Website and Social Media Support, including: - Keeping Intex Technologies’ website up to date - Posting basic content to social media - Gathering photos or updates to share externally ? Scrap and Quality Support, including: - Assisting the Quality department with entering scrap data and basic material testing as needed - Attending weekly scrap review meetings - Summarizing scrap meetings and communicating key takeaways to relevant teams - Following through on action items resulting from quality or scrap discussions ? Assist the Purchasing department with weekly inventory counts and recording
Qualifications ? Fluent in English and Spanish – preferred ? Previous experience in office administration, coordination, or front desk roles preferred ? Excellent organizational and communication skills ? Friendly, professional, and adaptable to changing priorities ? Proficient in Microsoft Office (Word, Excel, Outlook) ? Comfortable working both independently and as part of a team ? Strong attention to detail and follow-through
