Position Summary:

The Service Writer at Firetrucks Unlimited is a crucial link between our customers and our service technicians. This role is responsible for accurately documenting customer repair needs, generating estimates, processing work orders, managing warranty claims, and ensuring clear and consistent communication throughout the service process. A strong understanding of heavy truck and specialized vehicle maintenance, along with exceptional customer service skills, is essential.

Key Responsibilities:

Customer Interaction Greet customers warmly and professionally, both in person and over the phone. Listen attentively to customer descriptions of apparatus issues, asking clarifying questions to fully understand symptoms and requested services. Translate complex technical information into easily understandable terms for customers. Provide clear explanations of recommended services, estimated repair times, and costs. Maintain excellent customer rapport by providing regular updates on repair status and addressing any concerns.

Work Order Management: Create detailed and accurate repair orders (ROs) documenting customer concerns, diagnostic findings, and required services. Verify warranty and service contract coverage for all applicable repairs. Develop comprehensive estimates for parts, labor, and sub-contracted work. Obtain necessary customer approvals for all repairs and additional services. Schedule service appointments efficiently, coordinating with technicians and parts availability. Monitor the progress of repairs and ensure timely completion. Process completed service orders through final billing and invoicing.

Administrative Duties: Documentation & accurate record keeping: Maintain complete and accurate service history files for all apparatus serviced. Ensure all paperwork, including repair orders, estimates, invoices, and warranty documentation, is meticulously organized and filed. Utilize company-provided software systems for all service-related activities. Communication & Collaboration with Service Manager, Technicians and other departments regarding repair details, customer expectations, and deadlines. Proactively identify and address potential delays or issues. Parts liaison between warehouse and technicians. Fulfill technician work flow requests . Assist in maintaining shop supplies for the service department. Occasional parts pick up or delivery.

General: Assist the Service Manager with quoting, scheduling, and tracking repairs for mobile technicians as needed. Adhere to all company policies, procedures, and safety guidelines. Stay current with OEM and industry standards for fire apparatus maintenance and repair.

Qualifications:

Education and Experience: Minimum of 2-3 years of proven experience in a service writer or service advisor role, preferably in the heavy truck, automotive, or specialized vehicle industry. Experience with fire apparatus is a significant plus. Strong technical aptitude and understanding of mechanical systems. Strong communication and interpersonal skills Ability to multitask and work in a fast-paced environment High school diploma or GED required; Associate's or Bachelor's degree in a related field preferred. Preferred experience creating estimates, preferably in a manufacturing or related industry. Experience in automotive parts identification and sourcing is highly desirable. Experience in the heavy truck industry is a strong plus.

Knowledge, Skills, and Abilities: Strong computer skills, including proficiency in manufacturing software, spreadsheets (Excel), word processing (Word), email, and internet research.

Experience in Google Suite and Salesforce is a plus

Excellent analytical, problem-solving, and critical thinking skills. Ability to read and interpret technical documentation, including RFQs, engineering drawings, and parts catalogs. Strong mathematical skills for estimating and pricing. Knowledge of fire apparatus, ambulances, and related equipment and their components is highly desired. Ability to work independently and as part of a team. Ability to manage multiple tasks and prioritize effectively.

Other Requirements: Must provide proof of eligibility to work in the United States. Must pass a pre-employment background check and drug test. Must have a valid NV driver's license. Must maintain a professional appearance.

Physical Environment:

Functions in a temperature-controlled office environment and potentially in a shop environment. Work requires the ability to sit and stand throughout the workday; position requires use of fingers, hands, and arms on a consistent basis for keyboarding, phone work, and filing. May need to lift up to 25 pounds on occasion. The standard office/shop environment has moderate noise levels.
