Job Specific Working Conditions:

Assist the staff team with administrative and organizational tasks.

Position: Area Office Administrator I

Summary: This position provides administrative support, enabling the Young Life field ministry area office to function in an organized and efficient manner.

Essential Duties:

  1. Written and Verbal Communication: Answer correspondence, do filing, and prepare mailings.
  2. Answer phones and respond to voicemail, e-mail, and phone calls in a timely and professional manner.
  3. Gather articles, pictures, layout, production, mail, etc., for newsletter from area staff.
  4. Create club/event postcards, flyers, and maps.
  5. Send prayer emails and monthly updates.
  6. Send personal support mailings.
  7. Create and maintain area M-Site.
  8. Send thank-you letters to donors.
  9. Interact with area office assistant, area directors, area committee, volunteer team leaders, and leaders with area.

Administration:

  1. Process and track donations.
  2. Maintain donor and leader databases, ensuring leader forms, driver questionnaires, and background checks are up-to-date.
  3. Manage monthly expenses and budgets, including area bank records, FDT, and expense reports.
  4. Pay bills, submit bank records and donations, evaluate financial status, and update FDT monthly.
  5. Maintain contact databases, including donor, club kid, parent, newsletter recipient, and banquet invitation lists; update contact info in Palm/Outlook and email distribution lists.

Human Resources for Regional Administrators:

  1. Track and report vacation, sick, and personal days for eligible staff.
  2. Submit timesheets for hourly staff.
  3. Complete Personnel Action Requests for hiring or terminating staff.

Event Administration:

  1. Coordinate area meetings: staff, leadership, and committee meetings.
  2. Camp: Track participation, payments, health forms, and fundraiser earnings; communicate with parents; manage fundraiser marketing; distribute brochures; liaise with camp regarding contracts and deposits.
  3. Banquet/Golf Marathon/Auction: Create invitations, sponsor packets, and donor cards; track guest lists, sponsors, RSVP, and donations; coordinate with hosts; mail invitations; send thank-yous.

Training: Provide training to staff, leaders, and volunteers on processes, applications, and systems related to field administration.

Working Conditions: Office Environment

Education:

  • High school diploma or equivalent
  • Associates degree preferred
  • Ongoing education encouraged

Experience Required:

  • Previous administrative assistant experience preferred
  • Typing speed of 55-60 WPM with accuracy
  • Proficiency in Microsoft Office Suite
  • Strong organizational and multitasking skills
  • Good grammar and communication skills
  • Ability to maintain confidentiality
  • Basic accounting skills
  • Relational skills with kids and adults
  • Initiative in developing processes and data organization
  • Customer service skills
