Accounting and Office Administrator

Compensation: $26.50$28.50 per hour

Overview:

Our client is seeking a detail-oriented, adaptable, and trustworthy team member to support both accounting and office operations in their busy legal environment. This is a growth-oriented role with phased responsibilities, providing hands-on training and mentorship from their current accounting lead. Ideal candidates are eager to learn, reliable, and comfortable balancing financial and administrative tasks.

Key Responsibilities:

  • Train with their Accounting Lead to learn core financial processes
  • Manage incoming/outgoing mail; assist paralegals with mailings and document shipping (UPS/FedEx)
  • Monitor and restock office supplies; coordinate immediate purchases as needed
  • Clean and maintain vendor/client records in QuickBooks and Filevine
  • Generate marketing expense reports
  • Take on minor Blocked Account responsibilities over time

  • Professional Communication: Clear, respectful interactions with internal and external contacts

Technical Skills

  • Basic accounting knowledge (debits/credits, general ledger, reports)
  • Familiarity with QuickBooks or similar accounting software
  • Proficient in Microsoft Excel (basic formulas, sorting/filtering)
  • Experience with general office coordination tasks

Nice-to-Haves (Not Required):

  • Experience with Filevine or legal/case management software
  • Previous bookkeeping or office management experience
  • Background in a law firm or small business setting

Growth Path What to Expect:

Phase 1 (02 months): Learn systems, support basic office tasks, observe workflows

Phase 2 (26 months): Begin assisting with A/P, A/R, reports, and data cleanup

Phase 4 (12+ months): Take on lead role in accounting operations, support strategic planning
