Are you a proactive, detail-oriented professional who thrives in a fast-paced academic setting? A prestigious university in Chicago’s Streeterville neighborhood is seeking an
Administrative Coordinator
to support curriculum operations within its medical education programs. This is a
full-time, on-site temporary position running from July through the end of November 2025 .
What You’ll Be Doing: Program & Curriculum Administration Coordinate day-to-day operations to support medical education curriculum delivery Maintain and update course schedules, student/faculty assignments, and materials on platforms such as Canvas and FOCUS Ensure technology platforms meet the needs of curriculum delivery; liaise with IT and EdTech as needed Participate in academic scheduling and integration across departments Develop, track, and report key performance indicators for curriculum effectiveness
Event & Meeting Coordination Plan and execute educational events, faculty workshops, and student programming Handle logistics including venue booking, speaker coordination, material prep, and A/V setup Manage meetings with internal stakeholders and document key takeaways and action items
Faculty & Student Support Provide administrative support for faculty recruitment and teaching logistics Guide students through the curriculum, supporting both academic operations and wellness resources Maintain confidentiality of sensitive student information, escalating concerns to appropriate personnel Coordinate student review panel processes and manage communications around selection and participation
Program Development & Evaluation Support curriculum development and continuous quality improvement initiatives Analyze outcomes and collaborate with leadership to refine educational approaches Develop and distribute instructional and support materials, ensuring clarity and accessibility Coordinate feedback collection and assist with curriculum assessments
Additional Responsibilities Maintain internal documentation, update procedural resources, and streamline administrative workflows Provide ongoing communication and support to faculty, students, and leadership Assist with other administrative projects as needed
What We’re Looking For: 3+ years of experience in administrative support, academic coordination, or program/project management Bachelor’s degree preferred (required for full-time conversion consideration) Strong organizational and multitasking skills Excellent written and verbal communication skills Ability to adapt quickly and problem-solve in a fast-paced, high-impact environment Experience working with students, faculty, or in higher education is a plus
Schedule & Pay: Full-time, Monday through Friday | 8:00 AM – 5:00 PM $24-$26/hour
