About the Role

A newly created, high-impact Executive Assistant position is now open to support the CEO of this dynamic organization headquartered in the southwest suburbs of Chicago. You’ll be the strategic right hand, ensuring he operates with clarity, focus, and efficiency—whether he’s on-site, abroad, or in back-to-back high-level meetings.

While the CEO is often in front of national and global leaders, you’ll anchor the home office, keeping priorities moving forward, stakeholders informed, and the CEO’s time focused on what matters most. Expect variety, visibility, and the opportunity to influence how the role evolves. This will be 5 days a week in the office and about 5% travel is expected for key events, with light international travel possible once annually.

Responsibilities

  • Own the CEO’s calendar—prioritizing, protecting, and aligning it to strategic objectives across time zones.
  • Manage domestic and international travel with meticulous attention to detail and contingency planning.
  • Serve as the communication hub—triaging emails, drafting responses, and preparing concise, accurate briefings.
  • Prepare and run high-level meetings—setting agendas, tracking deliverables, and ensuring timely follow-up.
  • Coordinate with the Board—collect agenda items, prepare materials, and support governance processes.
  • Represent the CEO at select events or meetings when he is unavailable.
  • Drive special projects—from cross-functional initiatives to board preparation and operational improvements.
  • Be the CEO’s “eyes and ears” in the office—spotting details that impact executive presence and guest experience.

Qualifications

  • 7+ years supporting C-level executives or senior leaders in fast-paced, high-accountability environments.
  • Proven ability to anticipate needs, make sound judgments, and communicate with professionalism and warmth.
  • Mastery of Microsoft Office Suite; comfortable with Zoom, Teams, and other executive technology platforms.
  • Demonstrated success managing complex travel and confidential communications.
  • Willingness to travel several times per year; occasional weekends; passport-ready.
