Position Overview
The controller is a key member of the leadership team and is responsible for the overall financial health and strategy of the agency. This role oversees financial planning, budgeting, forecasting, and reporting, while ensuring accurate financial operations and compliance. The ideal candidate has deep experience in service-based businesses, ideally in advertising or marketing, and is highly skilled in QuickBooks.
Key Responsibilities
Financial Leadership
Assist in the development and execution of financial operations aligned with the company’s business goals. Spearhead the evaluation and onboarding of a new billing system. Manage the agency financial process, create efficiencies, and streamline the A/P and A/R procedures. Lead and mentor the A/P and A/R teams, including performance reviews and distribution of accounts.
Financial Management & Reporting
Oversee all accounting operations for the agency, including general ledger, A/P, A/R, payroll, and monthly/year-end close. Ensure timely and accurate financial reporting in accordance with GAAP. Manage budgeting and forecasting processes; provide variance analysis and insights as well as cash flow forecasts. Prepare monthly, quarterly, and annual reports for leadership and stakeholders including but not limited to: Full reconciliation of over/under billings Bank Reconciliations Journal Entries Closing of GL after full audit of balances Analyze and distribute monthly financial packages to the CEO and President, and board by the 12th of the month. Assist the executive team in the development of the annual budget for approval by the board of directors. Oversee cash flow management, banking relationships, and financial compliance. Work with our outside accounting firm to close out financials and prepare tax returns.
Systems & Process Oversight
Manage and optimize QuickBooks accounting software to ensure accuracy, efficiency, and compliance. Oversee media billing and reconciliation processes through Strata, ensuring proper tracking of media spend and revenue. Implement financial controls, policies, and procedures to ensure data integrity and risk mitigation. Develop key measurements and dashboards that can be disseminated to the executive team.
Operational & Agency Support
Partner with department heads to better understand client profitability by account. Assist in the reconciliation of each client account, providing proactive feedback to the account team.
Qualifications
Bachelor’s degree in Finance, Accounting, or related field; CPA or MBA preferred. 7+ years of progressive financial leadership experience, ideally in advertising, media, or professional services. Expert proficiency in
QuickBooks . Understanding of STRATA or other media buying software a plus. Deep understanding of billing processes, financial planning, and reconciliation in a project-based agency environment. Strong leadership, communication, and analytical skills. Ability to think strategically while remaining hands-on in daily operations.
