Regional Dispatch & Planner Team Lead Responsibilities Oversee and lead a cross-functional Regional Dispatch Team, including Dispatchers, Customer Service Representatives, Load Planners, Flex, and Special Projects personnel using Turvo, Super Dispatch and Zendesk. As a Team Lead, you are expected to foster a collaborative and results-driven environment, while ensuring team members are equipped and supported to excel in their roles. Key responsibilities include: Team Leadership & Development
Promote a strong team-oriented culture and positive work environment Guide team members toward success in their respective positions through coaching and support Lead by example, demonstrating professionalism, accountability, and initiative Provide counseling and corrective action when necessary, in accordance with company policy Develop and implement training and refresher programs to ensure ongoing development
Operational Oversight
Ensure all dispatch orders are covered accurately and efficiently Ensure Planners are covering available shipments in a timely manner Provide hands-on assistance with team duties as needed Assign tasks and responsibilities to the appropriate team members based on workload and skillset Plan and facilitate regular team meetings to communicate updates, address concerns, and reinforce goals Collaborate with other Team Leads to ensure a productive and efficient dispatch operation
Performance Tracking & Reporting
Develop and maintain effective systems for tracking individual and team metrics Monitor attendance and phone usage to ensure adherence to company standards Report team performance metrics to the Dispatch Manager regularly Identify areas for improvement and work proactively to implement solutions
Ensure the load boards are actively maintained by:
Confirming load statuses are current and accurate Verifying that vehicles are properly assigned, marked as picked up/delivered, and
completed in a timely manner. Team Lead Duties CSR & Special Projects Customer Service Representative (CSR) Oversight TMS Spot Checks Verify notes are up to date and time-stamped Confirm pickup/delivery details are accurate Ensure driver contact information is recorded
Tracking Verification Ensure updates are entered (as required) Confirm ETA changes are promptly communicated to customers
Email & Call Response Review Randomly review selected messages to ensure: Professional tone/Grammar Accurate information Timely response times
Issue Escalation Monitoring Review all escalated incidents to confirm: Proper documentation in TMS Timely escalation and resolution steps taken
Special Projects (SP) Oversight Review all active special tow projects in TMS/project tracker Confirm load details are complete and accurate (pickup/delivery, contacts, times, special notes) Verify carrier/vendor compliance (authority, insurance, permits, W9) Ensure tracking updates and Zendesk tickets are current Spot-check communication notes in TMS/Zendesk for timeliness and professionalism Review reported delays or issues and ensure resolutions are documented Ensure all new tickets have not been sitting for too long, and assign accordingly Vendor Management Address vendor performance issues immediately Document vendor problems and track repeat issues for evaluation Verifying that new vendors meet all compliance requirements before assignment (COI & W9)
Qualifications: 2+ years experience in Logistics Strong organizational skills with attention to detail. Excellent communication skills for interacting with various stakeholders. Ability to prioritize tasks and manage time effectively. Familiarity with logistics and shipment tracking processes is required.
