Job Description Salary: $17 - $19/hour DOQ JOB SUMMARY

Under the supervision of the Manager of Cultural Arts, Camps, and Seniors, the Cultural Arts Coordinator supports the planning, organization, and execution of theatre and dance programming within the Park District. This position assists in staff coordination, program development, class scheduling, vendor communication, recital and event planning, administrative support, and classroom assistance. The coordinator plays a key role in ensuring high-quality, inclusive programming and a smooth experience for participants of all ages and abilities.

EDUCATION, EXPERIENCE AND TRAINING The ideal candidate will have a passion for cultural arts with experience in dance and theater performance and instruction required. Must be a high school graduate with an associate or bachelors degree preferred. Experience with the coordination of stage productions is highly desired. Administrative experience including strong organization, strong initiative, keen attention to detail, and time management is ideal. Proficient in MS Office or Google, and the Outlook email system for communication. Strong verbal and written communication skills to work effectively with management, staff, vendors, families, and participants. Capacity to work in a fast-paced environment, adjust to changing priorities, and address problems quickly and accurately with minimal supervision. Ability to maintain discretion with confidential matters and/or information.

DUTIES AND RESPONSIBILITIES

Essential Functions

A primary schedule of approximately 20 to a maximum of 29 hours per week, typically between 9:00 AM and 3:00 PM, with flexibility based on dance and theatre events. Any hours exceeding 29 per week must be approved in advance by a supervisor. Required attendance to provide on-site support to cultural arts and dance instructors during tech week and weekend theatre shows for Autumn/Spring Productions, Dance Recitals and Showcases including handling cash or credit card payments as needed. Gain knowledge and understanding of Park District policies and procedures and see that they are adhered to at all times.

Assist in the development of an educational syllabus for designated cultural art programming and events based on age and skill level. Assist Manager of Cultural Arts, Camps, and Seniors with staff management, including recruiting, scheduling, training, and hosting meetings. Assist Manager of Cultural Arts, Camps, and Seniors by suggesting potential programs, events, and productions as time permits and interest increases. Suggest marketing opportunities to promote interest in our programs. Gain knowledge and understanding of ActiveNet registration systems to run class rosters, class room reservations, manage class sizes, and input and edit class codes each season. Perform miscellaneous clerical duties such as making calls, filing, copying, occasional errands or other duties as needed to complete projects assigned by the Manager of Cultural Arts, Camps, and Seniors. Coordinate and direct cultural art program volunteers, especially during the Dance Recital and Theatre Production seasons. Coordinate purchase of costume orders, props, and supplies for the theatre program. Coordinate purchase of dance items and dance shoes available in collaboration with the front desk. Coordinate dance party and theatre space rental requests. Complete booking, scheduling staff and confirmation of requests from the Manager of Cultural Arts, Seniors, and Camps. Be the main person of communication with vendors to reserve rental space for the theatre production and dance recitals. Be the main person of communication with all vendors relating to the dance recital i.e. Photographer. Responsible for managing and operating the ticketing software for the dance recital as well as the autumn and spring theatre productions, including reserving and selling seats to participant families. Assist with organizing and maintaining storage area and inventory of supplies. Provide input into annual performing arts budget and maintain expenses responsibly within the approved budget. Submit seasonal performing arts program and schedule proposals to the Manager of Cultural Arts, Camps, and Seniors. Assist with editing and ensure accuracy in seasonal program guide, ActiveNet, and other marketing materials. Spearhead the planning and direction of the annual dance recital with the Manager of Cultural Arts, Camps, and Seniors and Dance Academy dance instructors. Maintain and promote excellent customer service relations with co-workers, management, patrons, outside organizations, and other affiliates. Perform duties in a professional, positive, and cooperative manner while acting as leader and working within a team. Continually improve procedures and methods by pursuing trends geared towards improving customer service, productivity, and program development. Participate in and assist with student evaluations, observations, and complete progress reports for required sessions. Meet deadlines and respond to inquiries in a timely manner. Be available to substitute teach dance and theater classes, within scope outlined in position agreement. Provide feedback, make corrections, and provide an encouraging environment. Communicate effectively with Manager of Cultural Arts, Camps and Seniors to provide ongoing feedback regarding year-round cultural arts programming and events (student absences, behavior issues, supplies, speakers, and safety issues- room temperature, damaged barres, slippery floors, etc.) Notify Manager of Cultural Arts, Camps, and Seniors of any suspected cases of child abuse or neglect and receive guidance and directions for reporting. Expected to be present at recitals and any other dance and theater events, required trainings and staff meetings as requested. Follow attendance policy, be available for a variety of days/times and be flexible with scheduled hours as much as possible. Be willing to sub when possible to assist other instructors and provide quality programming and little interruption for participants. Responsible for following all safety rules and guidelines, and for performing all duties in the safest way possible to prevent injury to themselves, other workers and the public. During the dance recital session held from approximately January to May, assist instructors with selecting and editing music for recital and dance performances, selecting costumes, assisting in measuring dancers, assisting in handing out costumes and provide ongoing feedback and reminders about upcoming dates and requirements. Assist Manager of Cultural Arts, Camps, and Seniors with costume price comparisons and ordering.

Secondary Functions

Perform other duties as assigned by supervisor and management. Attend various district-wide and departmental staff trainings as they pertain to policies and procedures, safety, or other subjects as appropriate (Customer service, CPR, etc.). Make suggestions for ordering supplies, class music, dance and theater resources, and/or equipment needs/repairs. Observe and follow all Park District safety policies and regulations and report any hazardous situations. The safety of staff and participants is a continuing responsibility of all employees. The District encourages its employees to take pride and ownership of the District. As such, it shall be the responsibility of all Park District employees to pick up litter throughout the buildings, grounds, and facilities of the District. May be required to work holidays, weekends and other hours based on district needs.

REQUIRED KNOWLEDGE ABILITIES AND SKILLS

Ability to teach dance terminology, technique and to demonstrate skill and technique in teaching various forms of dance. Ability to demonstrate knowledge, skill, and technique in teaching various programs related to theater and cultural arts. Capacity to interact with children and teach them in a fun, interactive way to appreciate and learn the task at hand. Possess strong computer skills including proficiency in word processing, spreadsheets and database applications. Possess good problem-solving skills and have the capacity to act rationally and calmly in high stress and/or emergency situations. Possess enthusiasm, drive, and a desire to accomplish goals and objectives. Ability to be flexible, adaptable, and handle multiple tasks, shifting priorities, and meet deadlines. Ability to work in a collaborative team atmosphere, promoting positive and effective working relationships with staff, supervisors, and the public. Must demonstrate effective supervisory and leadership qualities to perform required work. Lacking in communication with theatre staff. Not setting up meetings and not providing planning for camps. Only contributes to meetings other people set up. Expecting staff to show when not actively communicating with them. Possess time management and organizational skills to effectively perform job duties. Ability to maintain discretion with regard to confidential matters and/or information. Must be personable and comfortable speaking to children, parents, staff and the public of all ages and backgrounds with tact and diplomacy. Capacity to organize, prepare and present information in written and verbal form. Possess good safety awareness and use good judgment in all aspects of this position. Ability to accept constructive criticism and/or supervision. Capacity to be outgoing, friendly and provide quality customer service. Ability to follow directions and perform responsibilities as described. Ability to represent the Glen Ellyn Park District in a professional manner. Ability to read, write, follow directions, communicate, and understand materials printed in English.

PHYSICAL DEMANDS AND ENVIRONMENTAL CONSIDERATIONS

Physically able to demonstrate various dance movements for extended periods of time. Perform repetitive hand/arm and feet/leg movements throughout shift as when demonstrating dance or acting techniques. Constant standing up and walking the facility as necessary to accomplish daily activities. Strong voice, phone and listening skills. Some bending, twisting, kneeling, and reaching while performing job duties. Ability to carry, lift or move basic equipment, supplies, props, etc. up to 25 pounds. Sitting for sustained periods of time while completing work at desk or workstation. Ability to handle mental stress in order to cope with deadlines and long hours. Perform repetitive hand/arm movements as when working on computer keyboards, calculator, or writing reports, etc. Employees general work area is indoors in a smoke-free environment with controlled temperature and fluorescent lighting. Employee may be exposed to noise distractions from other employees, participants, or equipment operation in adjacent work areas. Operate a motor vehicle to run errands, visit sites, attend

meetings/trainings,

etc.
