Position Overview

KID Museum is seeking a motivated and detail-oriented Special Projects Associate to provide critical operational support to the Executive Director, Chief Strategy & Advancement Officer, and other senior leaders. This position reports to the Chief Strategy & Advancement Officer and plays an important role in coordinating high-impact projects and activities across fundraising and partnership development that help KID Museum achieve its strategic goals.

Essential Job Functions

  • Manage work plans, timelines, and stakeholder communications for initiatives involving external partners, funders, or collaborators.
  • Conduct research to inform strategic decision-making as directed by senior leadership team members.
  • Develop memos, presentations, and reports that synthesize findings and outline actions.
  • Draft compelling internal and external communications on behalf of senior leadership (ex: Board updates, funder updates, speaker talking points).
  • Prepare visually engaging materials including presentations, one-pagers, and proposals tailored to specific audiences.
  • Help maintain internal communications tools to execute on senior leadership’s internal communications strategy.
  • Build and maintain systems that enhance productivity for senior leadership team members.
  • Track organizational and departmental KPIs and provide management support to ensure timely information sharing.
  • Coordinate scheduling, meeting preparation, and follow-up for the Executive Director and senior leadership team as needed.
  • Support the management of the Executive Director’s fundraising portfolio by tracking contacts, deadlines, and follow-up actions using a CRM and in coordination with the development team.
  • Ensure the Executive Director and other members of the Senior Leadership Team are prepared for internal and external meetings with background information, materials and/or talking points.
  • Organize logistics and prepare materials for Board Meetings, Committee Meetings, and other meetings involving external stakeholders.

Qualifications:

  • Bachelor’s degree preferred.
  • 2-4 years of experience in a nonprofit, education, museum or equivalent setting preferred.
  • Proficiency in standard office procedures and tools, with the ability to efficiently use Google Workspace, Microsoft Office, and other communications tools.
  • Strong organizational and project coordination skills, deadline-driven, and able to manage multiple workstreams at once.
  • Strong written and verbal communication skills.
  • Strong interpersonal skills with a high degree of professionalism, discretion, and diplomacy in all internal and external interactions.
  • Ability to build relationships and work collaboratively with individuals across diverse backgrounds and roles.
  • Commitment to KID Museum’s mission and to expanding equitable access to innovative education experiences.
  • Flexibility for occasional evening, and/or weekend work in support of partnership cultivation or events.
