Senior Administrative Assistant

We are seeking a highly organized and detail-oriented Senior Administrative Assistant to support key executives and teams within (Insert Organization Name). This role is crucial to ensuring smooth daily operations, managing critical administrative tasks, and enhancing organizational efficiency. With a proactive approach, the successful candidate will handle a wide range of responsibilities, including schedule management, report preparation, and effective communication within and outside the organization.

Key Responsibilities:

  • Executive Support: Provide dedicated administrative assistance to executives, including managing calendars, scheduling meetings, and prioritizing tasks to ensure operational efficiency.
  • Communication Coordination: Serve as a key contact for internal and external communication, drafting correspondence, and relaying detailed information while maintaining confidentiality.
  • Meeting and Event Management: Organize and coordinate meetings, prepare agendas, take minutes, and ensure follow-up on action items. Assist in planning larger events as needed.
  • Administrative Oversight: Maintain accurate filing systems (both digital and physical), oversee office supply inventory, and coordinate office logistics.
  • Project Management: Support executives and teams in managing critical projects by tracking deliverables, ensuring deadlines are met, and staying on top of priorities.
  • Report Preparation: Compile, analyze, and prepare reports using advanced tools, including Microsoft Excel, CRM systems, or ERP platforms.
  • Technology Utilization: Leverage advanced Excel functions, Microsoft 365, and database systems to optimize workflows and improve administrative processes.
  • Data Entry and Analysis: Assist in processing and analyzing data to support decision-making and ensure internal processes remain efficient.

Requirements:

  • 45+ years of administrative support experience, preferably supporting senior executives or leadership teams.
  • Education: High school diploma or equivalent required; a Bachelor's degree in business, communications, or a related field is preferred.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel-advanced, PowerPoint, Outlook). Experience using CRM or ERP software is strongly preferred. Familiarity with virtual meeting platforms (e.g., Zoom, Microsoft Teams).
  • Interpersonal Skills: Strong verbal and written communication abilities, with polished professionalism and customer service orientation.
  • Organizational Skills: Ability to prioritize multiple tasks, meet deadlines, and maintain attention to detail in a fast-paced environment.
  • Problem-Solving: High level of critical thinking and the capability to work independently to resolve issues as they arise.
  • Confidentiality: Proven capacity to handle sensitive information with discretion and integrity.
