Administrative Assistant I
Under direct supervision, this position is responsible for clerical duties generated by two departments. This position assists customers with water and sewer maintenance problems, completes water and sewer related paperwork, assists coworkers as needed, takes calls from the crews and creates orders for the crews. Essential Responsibilities: Answers phones and assists customers. Prints daily line up. Enters sewer complaints and main break info from job reports. Schedules water/sewer locates. Writes up and files paving permits for excavation cuts. Verifies streets permits w/our drive information. Logs street changes for permits in our drive. Creates reference numbers in Hansen for sewer/water call back orders. Schedules truck preventive maintenance. Prints and records tap service requests. Creates white slips for the crews. Enters information from white slips into Hansen, closes orders, and scans white slips into eDocs. Calculates daily special work order numbers. Calculates E & I data. Calculates and reports the amount and type of work completed (i.e., feet of main washed, televised or repaired; number of manholes adjusted; number of mains and service lines repaired; etc.) Enter wastewater early removal effort (WERE) information and SSO noncompliance reports. Enters meter test records, junk meter information, and new meter information. Reconciles credit card purchases, enters purchase orders and requisitions, and enters manhole data information into data system. Creates orders for fire hydrant repairs. Assists coworkers and supervisors as needed. Calculates and balances daily job reports. Dispatches/responds to radio traffic. Sorts, logs and enters meter records. Schedules locates for City owned utilities. Maintains records in data base and spreadsheets. Minimum Requirements: Requires a High School Diplomas or its equivalent (GED) and a minimum of six (6) months of clerical experience. Valid Texas Class C Driver's License Required. Knowledge, Skills, and Abilities: Ability to operate standard office equipment including a calculator, copier, two-way radio and multiline telephone system. Ability to perform basic mathematical calculations. Ability to use a computer or mainframe terminal for data entry, word processing (experience in Word preferred) and accounting purposes. Ability to handle stressful situations. Ability to use highly technical computer applications, such as GIS or CAD.
