We are currently in search of a

US Office & Mail Administrator

for an

International Fundraising Foundation.

The position is

hybrid in New York, NY (Midtown Manhattan).

This is a

full-time temp-to-perm position with an anticipated salary of $50,000 to $55,000, with negotiation possible for an exceptional candidate .

SCHEDULE: Full time - 40 hours/week - 3 days onsite, 2 days remote

DURATION: Temporary to Permanent

HOURLY RATE: $23.00 - $26.00

The US Office & Mail Administrator will oversee a number of duties for the US office of an international organization. Some tasks will include office management, data entry, processing donations, handling mail, and client support, etc. This position may occasionally call for communications outside of regular office hours, required due to coordination across time zones.

Our Ideal Candidate: • Gift/Donation processing and handling experience required • Office Administration experience required • Experience with CRM Systems preferred • Experience handling checks/deposits is a plus • Client/customer support experience is a plus • Ongoing interest and engagement with the worldwide Charity Sector is a plus • Experience working with a global team across different time zones is a plus

How You Will Spend Your Day: • Liaise with the Head of Finance/HR as required regarding any landlord, contract or insurance issues • Purchase office supplies and equipment and maintaining proper stock levels as required • Keep appraised of any building policies and procedures as appropriate, including but not limited to any regarding Health and Safety and/or Fire. • Receive and process mail, including client donations, and upload all incoming documentation to SharePoint • Refer to appropriate team members to ensure deposit slips are reviewed before banking • Ensure cheques are banked on a timely basis, the correct donor name and details are recorded on Beacon, it is allocated to the relevant fundholder, and fundholder notifications and donor receipts are sent accordingly • Liaise/drop off with local USPS/courier branches for clients as required • Update donation client reports with donations received online/electronically/by cheque • Conduct bank reconciliations for donation processing clients • Transfer PayPal balances to clients' accounts • Receive and handle phone calls to the US telephone number, supporting clients, donors, and potential clients' needs, and forward more in-depth queries on to specialist staff as appropriate • Update SharePoint templates, bank letters, reports, and other such standard documents as required • Provide one-off support for client projects (as previously agreed and instructed) for clients (for example, supporting events, commuting paperwork to New York-based client representatives)
