About the Role
The
Resident Coordinator
is a key member of the property management team, responsible for supporting day-to-day operations and ensuring a positive living experience for residents. This role provides comprehensive administrative and operational assistance, coordinates resident services, and acts as the primary point of contact for resident inquiries, concerns, and needs. Responsibilities include facilitating move-ins and move-outs, supporting lease renewals, and assisting in leasing and front desk activities. Key Responsibilities
Leasing & Resident Services · Assist the leasing team with new resident acquisition and coordinate move-ins after applications are approved. · Support the Property Manager with the lease renewal process to meet renewal targets. · Step in for leasing activities as needed—conduct tours during Leasing Professional absences or for walk-ins. · Serve as the main point of contact for residents during shifts, handling inquiries via phone, email, or in person. · Address resident concerns such as noise complaints, smoking, odors, or disturbances in a timely and professional manner. · Escalate critical resident or property issues to the Property Manager for resolution.
Administrative & Financial Support · Help manage accounts receivable by posting late fees, collecting delinquent rent, correcting ledgers, and processing move-ins and move-outs. · Provide administrative support to the Property Manager in day-to-day office operations. · Process lease renewals and maintain accurate and up-to-date resident records. · Make payment collection and delinquency follow-up calls, and assist with status checks and lease negotiations. Move-in/Move-out Coordination · Conduct unit walkthroughs before move-ins to ensure readiness. · Prepare and distribute keys and welcome bags; assist with auto-pay setup and unit orientation for new residents. · Coordinate dock reservations and key return for move-outs. · Perform unit inspections post move-out to assess damages and assist in processing move-out statements.
Front Desk & Maintenance Coordination · Cover the front desk/lobby, greet guests and delivery personnel, and coordinate leasing tours. · Receive and document maintenance requests, coordinate with the maintenance team, and follow up on completed requests to ensure resident satisfaction. · Address resident questions about repairs, rent, community guidelines, and more—provide timely follow-up when needed. · Work closely with the Property Manager and Maintenance Supervisor to manage vendor access and property-related concerns.
Community Engagement & Property Support · Contribute to maintaining the property’s cleanliness and curb appeal. · Assist in organizing resident events and participate as a host, as directed. · Attend staff meetings and complete virtual trainings as required. · Perform other duties as assigned by the Property Manager. Requirements Qualifications & Competencies
· Experience in multifamily property management is a plus · Familiarity with Yardi, Entrata, MRI, or RealPage is a bonus · Leasing experience preferred · Strong written and verbal communication skills · Proficient in Microsoft Office · Exceptional customer service and interpersonal skills · Effective time management and problem-solving ability · Tech-savvy and comfortable using digital tools
