JOB TITLE: Conference Room Coordinator/Events Coordinator LOCATION: Santa Clara, CA DURATION: 6+ months RATE RANGE: $40.00 to $50.00/hour

Job Description • Schedule and coordinate room bookings for internal and external meetings, ensuring availability and adherence to company policies. • Coordinate with team members to determine ideal meeting times and room configurations based on requirements. • Facilitate room support including AV equipment and other technology needs. • Collaborate with catering services for food and beverage arrangements for meetings. • Maintain accurate and up-to-date room scheduling records and ensure timely communication with stakeholders. • Assist with coordination and execution of company events, workshops and training sessions. • Serve as the main point of contact for all Large Meeting Spaces (LMR’s) inquiries and issues. • Participate in team meetings and stay updated on company policies and procedures related to conference room management. • Support and updated internal LMR SharePoint for internal reference and guidance. • Communicate with internal Alcohol Committee for approval of event and use of building facilities. • Support monthly data tracking and report usage to management. • Responsible for developing and managing LMR Sharepoint site. • Assist Space Planning Team in conference room restrictions and calendar clearing. • Facilitate, coordinate, and conduct campus tours for high-level executive visits or internal teams. Qualifications: • Bachelor’s degree in Business Administration, Hospitality Management or experience in related field. • 5 + years of experience or Prior experience in conference room management, scheduling, event coordination preferred. • Strong skills required in MS Excel and Tableau • Strong organizational and multitasking skills to handle multiple meeting requests and events simultaneously. • Excellent communication and interpersonal abilities to interact effectively with team members and internal stakeholders and external guests.• Proficiency in Microsoft Office Suite and calendar scheduling software • Familiarity with audiovisual equipment and conference room technology • Ability to work independently and in a collaborative team environment. Compensation details listed in this posting reflect the base hourly rate or annual salary only, unless otherwise stated.
