Blu Omega is seeking a detail-oriented Finance & Administrative Coordinator to support financial operations and office management within a dynamic, fast-paced government contracting environment. The ideal candidate will have experience with Deltek Costpoint, a solid understanding of government compliance requirements, and the ability to manage both transactional finance tasks and general administrative support.
This role is critical to maintaining financial integrity by ensuring timely invoice and payment processing, supporting billing and collections, and keeping organized documentation for audits and reporting. The position reports directly to the Controller and collaborates across Finance, Operations, and Leadership teams.
Responsibilities:
Financial Operations & Accounting Support
- Collaborate with project managers and business unit leaders to verify labor hours, validate billing data, and generate accurate, timely, contract-compliant invoices for government and commercial clients.
- Support full-cycle Accounts Receivable (AR) operations by posting cash, reconciling accounts, and assisting with collections to optimize cash flow and financial reporting.
- Facilitate employee travel by coordinating Travel Authorization Requests (TARs) and assisting staff with travel expense entry and reimbursement submissions in Deltek Costpoint, ensuring compliance with policies and regulations.
- Administer corporate credit card transactions (American Express), including uploading expenses, categorizing charges, assigning project and accounting codes, and ensuring receipt tracking in compliance with Defense Contract Audit Agency (DCAA) and internal policies.
- Conduct fringe benefit reconciliations by validating benefit invoices, reviewing payroll journal entries, verifying employer contributions, ensuring tax filing accuracy, and preparing internal reports.
- Manage the Accounts Payable (AP) email inbox by monitoring invoices, routing for approval according to workflows, and entering approved invoices into Deltek Costpoint for prompt processing.
- Process recurring and automated vendor payments and monitor bank transfers across multiple operating accounts, ensuring accuracy, timeliness, and compliance with internal controls and contractual obligations.
- Support monthly and quarterly financial close processes by performing reconciliations, preparing schedules, and contributing to internal financial reporting.
- Maintain well-organized digital records of billing, accounts payable, accounts receivable, and related financial documentation to ensure accuracy, accessibility, and audit readiness.
- Assist in developing, documenting, and reviewing Standard Operating Procedures (SOPs) for the Accounting and Finance department to ensure regulatory compliance (e.g., FAR, DCAA) and alignment with industry best practices.
Administrative & Office Management Support
- Serve as the primary liaison for internal office support by managing daily office needs and coordinating with vendors and facility service providers to maintain a productive work environment.
- Provide comprehensive administrative support, including scheduling coordination, document preparation, and ad hoc assistance across departments to support smooth operations.
- Assist in preparing monthly and quarterly financial summary reports by organizing data and ensuring reports are clear, concise, and presented in a format that supports leadership decision-making.
- Monitor and facilitate workflow approvals, onboarding and offboarding procedures, and compliance documentation to ensure adherence to internal controls and policies.
- Organize documents systematically across platforms such as SharePoint, internal compliance trackers, and filing systems to ensure efficient retrieval, version control, and regulatory compliance.
- Oversee office supply procurement and inventory management, ensuring adequate stock levels, and coordinate logistics for on-site meetings to support operational efficiency.
Qualifications:
- 2+ years of experience in accounting, finance, or administrative roles, preferably within the government contracting industry
- Strong proficiency in Deltek Costpoint preferred
- Knowledge of Federal Acquisition Regulation (FAR), Defense Federal Acquisition Regulation Supplement (DFARS), and Defense Contract Audit Agency (DCAA) compliance standards is highly desirable
- Exceptional organizational skills with strong attention to detail and accuracy
- Proven ability to manage multiple priorities and meet deadlines in a fast-paced, deadline-driven environment
- Advanced skills in Microsoft Office Suite, particularly Excel, and familiarity with document management systems such as SharePoint
- Excellent written and verbal communication skills with the ability to collaborate across all organizational levels
Nice to Haves:
- Experience supporting month-end close activities, fringe benefit reconciliations, and vendor management
- Familiarity with government billing methodologies, including Time and Materials (T&M), Cost-Plus-Fixed-Fee (CPFF), and Firm-Fixed-Price (FFP) contracts
- Previous finance and administrative support experience in small to mid-sized government contracting (GovCon) organizations
This full-time, internal-facing position is based in Ashburn, Virginia. While some scheduling flexibility is available, this role is best suited for a candidate who can work closely with our headquarters and core operations teams. You will play a vital role in maintaining the companys accounting accuracy and integrity, operational excellence, and administrative efficiency.
