An accounts payable (AP) professional plays a vital role in a company's financial operations by managing all aspects of payments and expenses. Their primary responsibility is to ensure timely and accurate payments to vendors and suppliers, maintaining accurate financial records, and resolving any discrepancies related to invoices or payments.
Key responsibilities
- Invoice Processing: Receiving, verifying, and entering vendor invoices into the accounts payable system.
- Payment Management: Preparing and processing payments (checks, electronic transfers, etc.) to vendors according to payment terms and company policies.
- Reconciliation: Reconciling accounts payable transactions against purchase orders and reconciling vendor statements to ensure accuracy and resolve any discrepancies.
- Record Keeping: Maintaining accurate and complete vendor files, financial records, and documentation related to payments.
- Vendor Communication: Responding to vendor inquiries, resolving payment-related issues, and maintaining positive vendor relationships.
- Compliance: Ensuring compliance with relevant accounting policies, procedures, and internal controls.
- Reporting: Assisting with month-end and year-end closing processes and preparing various financial reports related to accounts payable.
- Expense Reports: Reviewing and processing employee expense reports.
- Detail-Oriented & Organized: Crucial for managing a high volume of invoices and payments accurately.
- Computer Skills: Proficiency in accounting software (Oracle experience not necessary; but preferred) and spreadsheet programs like Microsoft Excel.
- Communication: Strong written and oral communication skills for interacting with vendors and internal teams.
- Problem-Solving & Analytical: Ability to identify and resolve discrepancies, analyze financial data, and suggest improvements.
- Time Management: Effectively prioritizing tasks, managing multiple invoices and deadlines, and ensuring timely payments.
- Collaboration: Working effectively with team members in other departments, such as purchasing and finance.
- Confidentiality: Handling sensitive financial information with integrity and discretion.
- Education: A high school diploma or equivalent is the basic requirement, but an associate or bachelor's degree in accounting, finance, or a related field is preferred. Relevant coursework in accounting principles, business math, and accounting technology is beneficial.
- Experience: Experience in accounts payable or bookkeeping is generally preferred with strong data-entry skills and an understanding of basic accounting principles.
