Accounts Payable Coordinator

As our business continues to grow, we are seeking a detail-driven and accountable Accounts Payable Coordinator to join our dynamic finance team in South Burlington, Vermont. In this role, you will take ownership of the full accounts payable cyclereviewing, coding, and processing invoices, coordinating payment runs, resolving vendor issues, and ensuring compliance with internal controls. You'll work closely with internal departments and external vendors to ensure timely, accurate processing and support the financial health of our clean energy operations. Responsibilities include:

  • Receiving and reviewing incoming invoices from vendors or suppliers, verifying accuracy, and ensuring proper authorization for payment.
  • Maintaining appropriate account codes and entering invoice details into the accounting system for payment processing.
  • Supporting with audit preparations and providing support during internal or external audits by providing documentation, answering inquiries, and addressing audit findings as needed.
  • Generating and distributing invoices to customers for goods or services rendered, ensuring accuracy and adherence to billing terms.
  • Receiving and recording payments from customers, applying payments to appropriate customer accounts, and reconciling payments with outstanding invoices.
  • Following up with customers on overdue accounts, sending reminder notices or statements, and escalating collection efforts as necessary to ensure timely payment.
  • Responding to customer inquiries regarding billing, payment terms, or account balances, and addressing any concerns or disputes in a professional and timely manner.
  • Assisting in processing vendor invoices, ensuring proper coding, approvals, and timely entry into the accounting system.
  • Matching purchase orders and packing slips to invoices; resolving discrepancies with internal stakeholders or suppliers.
  • Supporting weekly payment runs, including check, ACH, and wire transactions, in accordance with company policy.
  • Reconciling corporate credit card transactions and ensuring proper documentation and account coding.
  • Responding to vendor inquiries and maintaining positive working relationships with a large and diverse supplier base.
  • Assisting with month-end close activities, including accruals and accounts payable reconciliations.
  • Organizing and maintaining accounts payable records in accordance with internal controls and audit requirements.
  • Collaborating closely with purchasing, receiving, and finance teams to ensure smooth workflow and issue resolution.
  • Supporting the onboarding and maintenance of vendor records, including W-9 forms and payment terms.
  • Participating in process improvement initiatives related to payables and vendor management.
  • Embracing a collaborative, team-based environment and being open to learning new systems and tools.

This position requires eligibility to obtain authorization under the International Traffic in Arms Regulations (ITAR) and/or the Export Administration Regulations (EAR). Non-US Persons, as defined in the ITAR and EAR, may not be eligible to obtain authorization.
